The Assistant to General Counsel position at the Suffolk County Water Authority is a full-time role based in Oakdale, NY, primarily focused on supporting the General Counsel in the administration of the legal, risk management, and purchasing departments. This position plays a crucial role in ensuring that all contractors and vendors maintain proper evidence of insurance throughout the contract period, including the insurance of subcontractors involved in cellular lease agreements. The Assistant will be responsible for data entry into the risk management information system (RMIS) and will also handle requests related to freedom of information and subpoenas. In this role, the Assistant will assist with the operations of the legal, risk, and purchasing departments, maintaining workflow assignments for the General Counsel, and managing the Authority and labor calendar and records. The position requires handling confidential information, organizing meetings, taking notes, and filing documents. The Assistant will prepare files and records for litigation, discovery, grievances, and arbitrations, ensuring that all necessary documentation is in order. Additionally, the Assistant will review new contract requirements against the insurance certificates provided, correcting any discrepancies as needed. They will input and track contractors' and vendors' insurance coverage in the SCWA's SAP software system and monitor the insurance of existing contracts. Effective communication with members of the purchasing department, contractors, brokers, and SCWA staff from other departments is essential. The Assistant will also process invoices for payment and provide coverage for front desk reception as needed. Other duties may be assigned as required.
