About The Position

Under the direction of the Site Manager, the Assistant Site Manager will assist with achieving academic excellence and integrity in an early childhood learning environment with diverse learning needs, styles and strengths; will foster community spirit and lead in a strongly integrated model in order to support the instructional process for the children and families served. The Pre-K Assistant Site Manager will be responsible for the overall quality of the program, as well as enrollment growth.

Requirements

Bachelor’s degree in Early Childhood Education or closely related field with State approved Teacher licensure is required.
Minimum four years of experience in leadership or administrative positions in early childhood programs; experience in an early childhood setting, including working with low-income children and families is required.
Demonstrated skills and abilities in a management capacity relevant to human services program management.
Demonstrated administrative, organizational and leadership abilities.
Demonstrate sound judgment and decision making skills.
Knowledge and awareness of cultural issues and local community practices related to care for children and families.
Ability to develop and manage program expenditures within a budget.
Experience preparing budgets and reports for public and private funding sources and knowledge of local educational, children’s and social service resources in the community.
CPR and First Aid training/certification required.
Ability to work effectively with parents and employees to improve the quality of life for children.
Ability to effectively supervise employees.
Ability to plan, organize and delegate tasks.
Ability to work collaboratively and cooperatively with community organizations and individuals from a variety of backgrounds.
Ability to work a heavy workload, under pressure of conflicting deadlines and competing needs, determine workload priorities to complete tasks with minimum supervision.

Must travel from administrative headquarters to all sites on a regular basis.
Training requires periodic overnight travel.

Responsibilities

Provide day-to-day supervision of the Early Childhood Services (EHS/HS/PS) programs to include employee supervision and development; delegate responsibility for a variety of program/administrative functions to personnel for the purpose of managing the workload more efficiently.
Manage ECS administrative functions (e.g. facility maintenance, budget, staffing, etc.) for the purpose of maintaining safe and efficient school operations within program guidelines.
Execute the ECS programs in accordance with the terms of the contract and applicable guidelines and adhere to the program's budgetary provisions.
Develop, implement and maintain systems, policies and procedures that assure objectives are met and services are high quality as defined by the standards set forth by Tennessee Department of Human Services-Child Care Licensing, Department of Education, Porter-Leath, NAEYC, and CWLA.
Work collaboratively with site staff/administration to cultivate a strong partnership and ensure a smooth transition from Pre-K to Kindergarten. Meet frequently with site Administrative staff to ensure ongoing communication.
Develop aggressive recruitment plan to ensure full enrollment is met and maintained. Work with staff to implement and maintain a fair enrollment process for families ensuring that a minimum of 80% meet the federal government’s low income requirements.
Assist with the development of the ECS programs policies/procedures for staff and parent handbook. Ensure that staff is properly trained on policies/procedures and best practices are implemented daily.
Assist with selection, implementation and continued monitoring of ECS school curriculum and assessment to ensure alignment with TN Early Learning Standards in an effort to prepare children for successful transitions. Provide teachers with professional development opportunities to ensure effective implementation of the curriculum and developmental assessments.
Supervises instructional personnel for the purpose of monitoring performance, providing for professional growth and achieving overall objectives of the curriculum. Plan, conduct, and/or coordinate in-service training for staff.
Maintain regular communication and coordination with supervisor and employees. Facilitate communication between personnel, students and/or parents for the purpose of evaluating situations, solving problems and/or resolving conflicts.
Ensure integrity of program evaluation measures. Assist in the developing and maintenance of a system of tracking children and families, including referral to outside agencies, when necessary. Utilize the database systems to maintain staff, family records and monitor staff input frequently.
Chair meetings (e.g. curriculum, safety, site advisory, special district committees, etc.) for the purpose of coordinating activities and ensuring that outcomes achieve school, district and/or state objectives. Audit files, classrooms and other factors to assure services are being delivered properly. Maintain all documentation necessary to verify progress toward program objectives.
Monitor various program contracts and contractors for compliance to the terms provided. Implement policies, procedures and/or processes for the purpose of providing direction and/or complying with mandated requirements; coordinate efforts to ensure that non-Federal obligations are met.
Complete, review and/or submit monthly reports as required by Supervisor (i.e. Program Manager’s report, Performance Quality Improvement, CACFP, etc.). Ensure the facilities and equipment is available and meets all local, state and federal requirements. Ensure employees have the tools, equipment and supplies necessary to perform efficiently. Ensure that center is meeting all USDA (CACFP) guidelines. Conduct monitoring of meals and assist with monitoring staff to ensure compliance.
Assist with preparation for local and national site visits/audits (i.e. DHS licensing reviews, Health Dept., NAEYC, USDA, etc.) and self assessments. Keep Supervisor informed of programmatic issues in a timely and concise manner.
Represent Porter-Leath and Early Childhood Services (EHS/HS/PS) within community forums, groups at a national, state and local level for purposes of advocacy, education, collaboration, networking and information sharing. Attend local, regional and national educational workshops to stay abreast of trends and maintain professional development.
Contribute to team effort by performing other duties as assigned.
