About The Position

The School Visits Assistant plays a key role in ensuring that all school programs run smoothly from start to finish. This position works directly with visiting schools and operates as the primary liaison between school programs and external educators, scheduling field trips and other school visits in, answering questions, and ensuring teachers have the information they need to prepare for their visit. The Assistant collaborates with the Strategic Operations team and other internal teams on logistics for school visits, and works closely with Lead Museum Educators to assist with scheduling Museum Educators for tours and workshops. In addition, the School Visits Assistant supports and conducts outreach by maintaining clear and timely communication with teachers and school partners, strengthening relationships, and ensuring their needs are met. Working in partnership with the Manager for Curriculum and Instruction, the Assistant also engages in proactive outreach to schools and serves as a representative of the museum at community events. The schedule is typically 8:00am to 5:00pm, Monday-Friday. The School Visits Assistant reports to the Director of School Programs.

Requirements

  • High School Diploma
  • Interest in K-12 education and arts education
  • Minimum of two years working in a customer service capacity
  • Valid Arkansas driver’s license with clean driving record
  • Experienced and effective public speaker, with outstanding customer service skills
  • Highly organized and efficient with all details and tasks
  • Excellent verbal and written communication skills
  • Strong organizational and interpersonal skills
  • Ability to work independently, as well as within a team
  • Ability to effectively multitask in a fast-paced environment
  • Flexibility, creativity and a good sense of humor

Responsibilities

  • Assist with morning School Visits logistics including, but not limited to, greeting buses, escorting students and chaperones to various locations throughout the museum, providing introductions to school groups including museum rules and expectations, and securing materials for lunch in partnership with Museum Educators, Guest Experience Operations, and Culinary Teams.
  • Schedule, coordinate, and liaison to schedule school tours and digital engagements with Museum Educators for on-site, off-site, and in-classroom visits
  • Facilitate lunches and escort groups to the bathrooms and trails
  • Communicate needs with various departments including education, facilities, and protection services
  • Collaborate with the volunteer team to ensure School Visit Ambassadors are available and trained to assist
  • Maintain a working knowledge and understanding of all school visit offerings and materials and serve as a point person for teachers and chaperones
  • Coordinate with Strategic Operations, Guest Experience Operations, and Culinary teams to secure lunch materials and support other event needs.
  • Coordinate and schedule virtual school tours and digital engagements, serving as the liaison between Museum Educators and external educators.
  • Facilitate group logistics during visits, including escorting students and chaperones to lunch, restrooms, and outdoor spaces such as the trails.
  • Communicate group needs and logistical updates with internal partners, including Education, Facilities, and Protection Services.
  • Partner with the School Programs Coordinator to ensure School Visits Volunteers are scheduled, prepared, and trained to provide support during visits.
  • Maintain a strong working knowledge of all school visit offerings, resources, and materials, and serve as a primary point of contact for teachers and chaperones throughout their experience.
  • Work in partnership with the Manager for Curriculum and Instruction to conduct proactive outreach to schools and districts, building strong relationships with educators and administrators.
  • Represent the museum at community events and educator-focused programs, serving as an ambassador for School Visits and strengthening the museum’s visibility and engagement with schools.
