About The Position

The Assistant Residency Program Coordinator supports and represents Vituity Graduate Medical Education (GME) Program at the assigned site. This role involves keeping current with Accreditation Council for Graduate Medical Education (ACGME) requirements and assisting in implementing policies and procedures within the Vituity GME Program to ensure compliance. The coordinator assists with implementing educational curriculum, rotation schedules, planning and assessment tools, and marketing plans for the Vituity GME Program. Additionally, the coordinator is responsible for scheduling and supporting various program-related events, collecting data and evaluations for reports, and communicating with residents and students regarding licensing and certifications. The position also involves attending conferences, ensuring approval of Continuing Medical Education (CME) lectures, and providing customer service to academic and administrative offices, residents, and applicants.

Requirements

  • High school graduate or GED required.
  • Previous administrative and project management experience in the healthcare industry required.
  • Bachelor's Degree in a related field preferred.
  • 1-2 years of experience working with Graduate Medical Education Programs preferred.
  • Excellent communication, verbal and written skills.
  • Excellent organizational skills.
  • Ability to handle sensitive information with absolute confidentiality.
  • Working knowledge of software applications including Microsoft Word, Excel, and PowerPoint.
  • Ability to learn electronic data entry and evaluation systems.
  • Ability to make decisions independently or to escalate issues as needed.

Responsibilities

  • Supports and represents Vituity Graduate Medical Education (GME) Program at assigned site.
  • Keeps current with Accreditation Council for Graduate Medical Education (ACGME) requirements and assists in implementing policies/procedures within the Vituity GME Program to ensure compliance.
  • Assists in ensuring Vituity GME Program compliance with accrediting bodies.
  • Assists with implementing educational curriculum, rotation schedule, planning and assessment tools, and marketing plans for the Vituity GME Program.
  • Assists with scheduling and supporting Vituity GME Program events including lectures, recruitment interviews, orientation, retreats, and various meetings.
  • Collects data, evaluations, and related project materials to support and assist in preparation of Vituity GME Program reports, presentations, and communications.
  • Assists in the preparation for ACGME Self Study, Site Visits, and internal/special reviews.
  • Communicates with residents/students/trainees regarding licensing, certifications, or re-appointments that are due to be renewed.
  • Attends conferences as requested by the Program Director.
  • Assists in ensuring approval of all Continuing Medical Education (CME) lectures.
  • Serves as a main resource for questions from academic and administrative offices, residents, applicants, and/or medical students.
  • Purchases office equipment and supplies as needed.
  • Evaluates and standardizes office procedures and effectively troubleshoots and resolves issues.
