About The Position

The position involves a variety of essential duties and responsibilities related to the management of academic records and student information. The individual will prepare and maintain Master Registration, Don Rags, and Senior Oral Schedules, as well as transcripts and letters of certification for undergraduates, graduate students, and alumni. The role requires maintaining the classroom schedule and collaborating with the Registrar and Assistant Dean on schedule and room assignments. The individual will also serve on various academic event committees, assist the Registrar in managing the department budget, and respond to requests for confidential student information while adhering to federal laws and College policies. Additionally, the position involves data management, automation of routine tasks, and providing excellent customer service to the campus community.

Requirements

  • Bachelor's degree and at least two years of relevant work experience.
  • High level of computer experience with software including Microsoft Office (especially Word, Excel, and Access), integrated student information systems (preferably Jenzabar EX), and query/report writing software.
  • Excellent organizational skills and attention to detail.
  • Ability to perform most tasks with limited supervision but also work closely and cooperatively with Registrar and student aides.
  • Willingness to work outside regular office hours during strategic times.
  • Ability to maintain the office in the absence of the Registrar.
  • Communication both with the College community and external individuals with courtesy, tact, and diplomacy.

Responsibilities

  • Prepares and maintains Master Registration, Don Rags, and Senior Oral Schedules.
  • Prepares transcripts and letters of certification for undergraduates, graduate students, and alumni.
  • Maintains classroom schedule and works with the Register and Assistant Dean on schedule and room assignments.
  • Serves on the Commencement, Convocation and other academic event committees.
  • Assists Registrar in managing department budget and other financial matters.
  • Updates and maintains current student biographical and academic information.
  • Responds to internal and external requests for confidential student information; exercises judgment and discretion, consistent with federal law, including FERPA regulations for higher education and College policies.
  • Assists the Registrar with internal, state, and federal reporting requirements.
  • Serves as point of contact for the National Student Clearinghouse for transcript and verification services.
  • Collaborates with the Chief Data Officer to spearhead routine data quality reviews and maintains a data glossary.
  • Leverages simple automation solutions to streamline routine data entry tasks and report generation.
  • Collaborates with Enrollment/Admissions on the student matriculation process.
  • Supervises and trains student aides and manages their assignments.
  • Provides excellent customer service to the campus community and all customers.
  • Communicates using excellent oral and written communication skills.
