About The Position

The Registrar’s Office at Plymouth State University invites applications for an Assistant Registrar, Transfer Credit & Study Away Specialist. This position manages all transfer credit and study away processing for Plymouth State University. Responsibilities include working with a variety of offices and colleagues, evaluating credit requested by incoming and current students for acceptance, determining course equivalencies, and posting credits on the student’s record. The incumbent performs a variety of data management and recordkeeping duties in support of Registrar Office operations by applying policies and procedures in an organized and timely manner, engaging in problem solving and triage, and assisting with information technology and systems. Requires dependability, exemplary interpersonal skills, initiative, a strong work ethic, a meticulous attention to detail, and a sharp technical aptitude. This 40-hour work week position is 100% time benefited.

Requirements

  • Bachelor’s degree and three years of experience or Associate’s degree and five years of experience dealing with a computerized student records system in a higher education environment.
  • Familiarity with data processing and computer software applications for a Registrar’s office.
  • Effective communication and writing skills.
  • Analytical, organizational and interpersonal skills.
  • Experience in a registrar’s office involving progressive responsibility and duties requiring discretion and independent judgment.
  • Experience with Banner and DegreeWorks systems, student records and report writing tools.
  • Knowledge of curriculum and academic program structures in a university setting, and experience with all levels of higher education including adult learners.
  • Ability to travel short-term on behalf of the University
  • Exposure to education software products such as Xtender and Parchment, as well as proficiency in Microsoft Office applications with an aptitude for learning new software systems.
  • Ability to establish and maintain effective working relationships with faculty, staff, students and the general public.
  • Excellent time management and strong logic skills with attention to detail.
  • Capable of adhering to legal requirements and regulations and maintaining confidentiality while providing exceptional service.
  • Demonstrated ability to use good judgment, interpret and communicate policy, rules and procedures.
  • Experience with office duties requiring discretion, prioritization, research and time-sensitivity.

Responsibilities

  • Exhibit discretion and maintain confidentiality in communicating sensitive information and in handling confidential materials.
  • In partnership with the admissions office and the Academic and Career Advising Center, evaluate and process all transfer credit for incoming students, including block transfer, in accordance with academic policy for both undergraduate and graduate students.
  • Process all transfer credit request forms for current students, in accordance with academic policy for both undergraduate and graduate students.
  • Coordinate transfer course evaluations with faculty evaluators as needed, and update equivalencies in Banner.
  • Post transfer credits onto student’s academic record in Banner; communicate results to students and advisors, providing clarification and assistance as needed.
  • Research outside institution accreditation, policies, and courses during credit review.
  • Participate in the Transfer Workday Workstream attending meetings, providing and validating data, and testing systems.
  • Attend and participate in meetings related to transfer credit policies and procedures
  • Process exams scores such as CLEP, ICBE and AP.
  • Manage the Cross-Registration Process, assisting students and working with the Registrar Offices at other Universities.
  • Work closely with colleagues from the UNH Global Engagement Office.
  • Process Course Planning Forms sent to registrar’s office from the Global Engagement Office.
  • Coordinate course evaluations with faculty evaluators as needed, and update equivalencies in Banner.
  • Post transfer credits onto student’s academic record in Banner; communicate results to students and advisors, providing clarification and assistance as needed.
  • Research study away institutions’ accreditation, policies, and courses during credit review.
  • Attend and participate in meetings related to study away policies and procedures at other Universities.
  • Support operations of the registrar’s office utilizing various computer and online solutions including, but not limited to Banner, Xtender, Parchment, and the National Student Clearinghouse.
  • Scan/Index documents on a daily basis and utilize MS Office to accomplish daily tasks.
  • Cultivate trust in the registrar’s office by offering quick and accurate answers to questions and reducing the need to shuffle students.
  • Provide general academic information and assistance in a professional and efficient manner, clearly explain university academic policies and procedures and point out resources for self-service.
  • Answer the main phone line, assist with office walk-ins and the psu-registrar email account.
  • Research and resolve routine issues; triage more complex as necessary.
  • Prioritize responsibilities to ensure time-sensitive needs are managed quickly.
  • Perform a wide variety of very detailed and time-sensitive data entry and recordkeeping duties relating to student record maintenance in the student information database.
  • Understand appropriate technology and workflow to leverage as a resource for better customer service.
  • Communicate academic and student service-related matters and/or specific policy information and assist in up-dating and/or developing policies and procedures.
  • Participate in office-wide projects to include new student pre-scheduling, cross-training and software testing as well as events such as orientation, grad fair, and/or events such as commencement preparation activities.
  • Run error reports and resolve issues to maintain data integrity.
  • Assist in researching issues regarding compliance with government and other external regulations and assist with compliance as required.
  • Attend meetings of appropriate committees as delegated, with ability to respond to questions concerning related office issues, and to report meeting content to supervisor.
  • Maintain a neat and organized workstation.
  • Assist with training student assistants.
  • Other duties as assigned
