Position Overview We are seeking a highly organized, friendly, and technically savvy Assistant Property Manager (APM). We offer competitive pay and benefits for this exempt position. This position would work out of our Atlanta office. The APM is responsible for a ddressing and resolving tenant issues and complaints, overseeing any necessary construction, and making recommendations to our Asset Management team. An APM will make decisions with a clear understanding of company policies and procedures, as well as all applicable State and Federal regulatory/compliance requirements. Areas of responsibility include answering tenant and vendor calls, dispatching tenant work order requests, assisting with preparation of monthly and quarterly management reports, preparing vendor contracts, processing invoices, and is accountable for achieving established business goals within expected timelines.

Requirements

  • Bachelor's degree from a four-year college or university in Business, Communications, or related field with 3+ years of related experience; or an equivalent combination of education and experience
  • Proficiency with Microsoft Office Suite (Calendar, Outlook, Word, Excel, Teams, etc.)
  • Strong ability to identify and resolve problems in a timely manner; gather and analyze information skillfully; develop alternative solutions
  • Demonstrated customer focus with the ability to establish tenant service standards and own the tenant experience
  • Proven track record of accuracy and thoroughness; commitment to quality improvement and applying feedback to enhance performance
  • Excellent written and oral communication skills

Responsibilities

  • Manage tenant and vendor relationships, serving as the primary point of contact for all inquiries and concerns
  • Address tenant inquiries promptly and visit tenants on an as-needed basis to ensure satisfaction
  • Manage preventative maintenance contracts for HVAC systems per tenant leases through Ravti/Building Engines
  • Enter tenant service requests and track them through Facility Manager to ensure timely response and proper work order closeout
  • Maintain updated tenant and vendor contact lists and communication records
  • Write and communicate vendor work schedules to ensure coordination and minimize disruptions
  • Coordinate and complete tenant move-ins and move-outs, ensuring all applicable documentation is properly submitted
  • Show vacant spaces to prospective tenants as needed
  • Manage assigned property financial duties, including independent review, processing, and timely payment of all invoices
  • Diagnose and resolve past-due invoices while collaborating with corporate resources to address any payables issues
  • Process and approve expenditures accurately and within established timelines
  • Direct rent collection processes to ensure all rents are paid timely, posted, and updated in the Yardi system
  • Identify past-due tenants and work to collect outstanding balances through negotiation and payment plan arrangements
  • Document all collection efforts and results in applicable systems
  • Assist with annual budget preparation by collaborating with the property management team, corporate resources, and senior leadership
  • Collaborate with the property management team to reconcile, prepare, and execute monthly financial reports
  • Exercise judgment and discretion in reviewing vendor contracts in collaboration with the property management team and corporate resources
  • Ensure all vendor contracts are within acceptable terms and conditions and properly executed
  • Track and manage vendor Certificates of Insurance, ensuring full compliance with all vendor-executed projects
  • Maintain a safe work environment for all tenants and vendors
  • Review, execute, and process legal tenant documents and lease-related correspondence using corporate templates
  • Manage lease documents, rent commencement agreements, and other lease-related paperwork
  • Perform additional job-related duties as assigned or required by management
