Assist in the development of and/or implementation of the Sterling 5 P’s Business Plan to ensure the property meets or exceeds the expectations of the owners, residents, vendors, and all customers. Maintain all office and supervisory functions in the Property Manager’s absence. Manage lease renewals and move-ins, ensuring all paperwork and processes are completed accurately. Assist with managing resident files, ensuring all documentation is up to date and compliant with company and legal requirements. Support property manager in the preparation of reports and budgets, tracking income and expenses. Maintain effective communication between management, residents, and vendors. Help with marketing efforts, such as property advertising, online listings, social media engagement, and promotional events to attract new tenants. Monitor the property's competitive landscape and suggest pricing and marketing strategies to attract high-quality tenants. Assist with managing eviction processes, ensuring legal procedures are followed appropriately. Perform morning merchandising each day within the first hour to ensure the community is clean, well-organized, and prepared for business operations. Update, organize, and maintain electronic resident files and all tracking reports. Prepare electronic lease agreements and resident move-in packets, ensuring all resident documentation is accurately uploaded and properly labeled in their Yardi account. Assist with lead management and property and apartment tours with prospective applicants and document each interaction including shows within Yardi's CRM system. Maintain an acceptable visit-to-application and appointment-to-show closing ratio. Assist applicants throughout the application process. Process rental applications and lease agreements per policy and submit all applications to the Property Manager for final approval. Process rental payments in Yardi promptly, issue late notices, apply late fees, perform occupancy checks, and update Yardi with delinquency memos. Carry out collection efforts in alignment with company policies, striving to achieve budgeted delinquency goals. Handle tenant inquiries, concerns, and complaints, providing solutions in a professional and timely manner. Follow up with current residents to ensure satisfaction and help reduce turnover. Manage the lease renewal process by tracking upcoming expirations, sending timely notices to residents, negotiating renewal terms, and ensuring completed renewals are accurately documented in Yardi’s system, all in accordance with company policies and occupancy goals.
