The Assistant Property Manager plays a crucial role in supporting the Property Manager in the administration and management of residential properties. This position involves a variety of clerical and administrative tasks, including rent collection, tenant communication, eligibility examinations, and property inspections. The Assistant Property Manager is responsible for ensuring compliance with housing programs and maintaining positive relationships with residents and stakeholders.

  • Assist in performing administrative and clerical tasks related to property management programs.
  • Collect rents and issue receipts, processing applications and related activities.
  • Assist with budget preparations and work within budget limitations.
  • Respond to tenant requests and complaints, noting repairs and damages to properties.
  • Notify maintenance personnel of damages and prepare work orders for repairs.
  • Conduct inspections of completed repair and maintenance work and prepare related reports.
  • Assist in conducting annual and interim eligibility examinations for residents.
  • Verify income, asset information, criminal background, and references for tenant eligibility.
  • Prepare late rent notices and assist in the collection of rent and miscellaneous payments.
  • Prepare correspondence and various reports on programs and operations.
  • Show housing facilities to prospective residents and explain housing programs and policies.
  • Conduct annual inspections of housing units and routine move-in and move-out inspections.
  • Monitor the condition of assigned facilities, including units, systems, and grounds.
  • Check parking lots for vehicle registration compliance and issue warnings if necessary.
  • Assist in investigations of possible program abuse or fraud and prepare for tenant evictions.
  • Respond to general inquiries and complaints from tenants, owners, staff, and the public.
  • Bilingual in English and Spanish, with the ability to communicate effectively in both languages.
  • Some knowledge of the Low-Income Housing Tax Credit Program (LIHTC).
  • Experience in property management or a related field is preferred.
  • Experience with data entry and record-keeping.
  • Familiarity with tenant management software.
