About The Position

The Assistant Property Manager for a luxury high-rise condominium in Miami Beach is responsible for providing clerical and administrative support to the General Manager. This role serves as a liaison between the General Manager and residents, while also interacting with vendors, board members, and onsite staff. The position requires a proactive individual who can handle various tasks related to property management and resident communication.

Requirements

  • Associate's Degree Required
  • Valid Florida Community Association Manager License (LCAM)
  • Proficient knowledge of Microsoft Office products (Word, Excel, Outlook)
  • Knowledge of communities/property/real estate and homeowners associations
  • Understanding of the role of the association board and Community Association Manager
  • Proficient in business correspondence (grammar, structure, punctuation, spelling)
  • Knowledge of conflict resolution techniques
  • Professional communication skills (phone, interpersonal, written, verbal)
  • Professional customer service skills
  • Self-motivated, proactive, detail-oriented, and a team player

Nice To Haves

  • Customer service experience (1 year preferred)
  • High school diploma or equivalent (preferred)
  • Driver's License (preferred)

Responsibilities

  • Field and respond promptly to resident/homeowner inquiries via phone, e-mail, work order, letter, and/or in person.
  • Interact with vendors and assist with addressing emergency requests as necessary.
  • Assist in preparing agendas, update management reports, and compile documents for Board meeting packages.
  • Prepare newsletters, flyers, and other documents to inform residents of maintenance services or projects, activities, and meetings.
  • Assist in preparing annual disclosure packages, meeting notifications, and financial statement packages for residents.
  • Maintain property and unit files.
  • Assist with processing new resident/homeowner welcome packets.
  • Issue key fobs, pool passes, and process access keys as needed.
  • Assist with requests for proposals, repair quotes, and insurance notifications.
  • Prepare homeowner CC&R violation letters and communicate results of hearings to residents.
  • Assist homeowners with corporate programs in accordance with General Manager direction.
