About The Position

The Assistant Project Manager supports project managers by organizing resources, managing schedules, tracking progress, and facilitating communication to ensure projects finish on time and within budget, handling day-to-day execution details like documentation, reporting, meetings, and risk monitoring, acting as a key liaison between teams and stakeholders.

Requirements

  • Bachelor’s degree in Business Administration, Management, Engineering, or a related field; equivalent experience considered.
  • 1-3 years of proven experience in project coordination, administrative support, or similar roles.
  • Experience in cross-functional or multi-department project coordination strongly preferred.
  • Strong organizational and time-management skills with the ability to manage multiple projects.
  • Excellent written and verbal communication; able to present information clearly to various audiences.
  • Effective problem-solving and critical-thinking abilities.
  • Proficient in project management tools (MS Project, Smartsheet, Asana, Monday.com, etc.).
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong attention to detail with a data-driven, results-oriented approach.

Nice To Haves

  • PMP, CAPM, Agile/Scrum certification, or other project management credentials, a plus.

Responsibilities

  • Maintain timelines, task lists, and project calendars
  • Coordinate meetings, agendas, and workflows.
  • Serve as a liaison, ensuring information flows between team members, project managers, and stakeholders; distribute updates.
  • Update project plans, track progress, prepare status reports, and manage project records.
  • Assist with resource allocation, monitor budgets, and track project liabilities or opportunities.
  • Monitor and document risks and issues, escalating blockers as needed.
  • Participate in project design meetings and propose improvements if necessary
  • Evaluate potential problems and technical hitches and develop solutions
  • Plan and manage team goals, project schedules and new information
  • Manage project-related paperwork by ensuring all necessary materials are current, properly filed and stored
  • Direct project correspondences by preparing and reviewing project proposals, memos, meeting minutes and emails
  • Communicate with clients to identify and define project requirements, scope and objectives
  • Adhere to budget by monitoring expenses and implementing cost-saving measures
