About The Position

The Assistant Program Director assists the Program Director in the management and day-to-day operation of the program site, including but not limited to administrative duties, fiscal and contractual compliance, funder reporting, safety and health, and program implementation. Specific job responsibilities include:

Requirements

  • One year administrative experience required
  • Training in Child and Adult Care Food Program (CACFP) required
  • CPR/First Aid certified (or eligible)
  • Comfortable working in a non-profit setting serving low-income and high-risk families
  • Proven ability to work effectively with adults and children from diverse cultural and linguistic background
  • Possess good computer knowledge and skills in Internet Explorer, Word, Excel and Outlook
  • Deep commitment to and demonstrated success discussing, integrating, and promoting diversity, equity, inclusion and belonging throughout a complex and dynamic organization.

Responsibilities

  • Supervise, Kitchen Aide, Front Desk Receptionist and foster grandparents
  • Prepare monthly, quarterly and annual reports for government funders
  • Enroll and certify families in state and local childcare subsidies and food program programs by collecting, verifying and maintaining documentation to meet state income and eligibility requirements, and ensure that client files are in compliance and up-to-date as required by the California Department of Education (CDE), the SF Department of Childhood (DEC), the Child and Adult Food Program (CACFP), Community Care Licensing and other government funders
  • Oversee compliance with and reporting for the Child and Adult Food Program (CACFP) for Compass Children’s Center and Compass Clara House
  • Prepare for contract and licensing reviews, audits and visits in accordance with city, state and federal regulations and guidelines
  • Help prepare for periodic accreditation renewals for the National Association for the Education of the Young Child (NAEYC)
  • Keep teacher manual and parent handbooks up-to-date
  • Provide food program coverage when the Kitchen Aide is absent
  • Attend meetings and trainings as required by city and state agencies
  • Perform bookkeeping duties by collecting and recording parent fees and donations, and maintaining, distributing and reconciling petty cash
  • Support Receptionist in timely and accurate collection of daily attendance, absences, and electronic parent sign-in and sign-out, as well as the follow-up daily on absences, and complete monthly attendance reporting
  • In collaboration with the Program Director, interact with parents to keep them informed on Center goings-on, answer questions and address concerns
  • Oversee volunteers and supervise coordination of in-kind donations
  • Work collaboratively with program staff and consultants as well as with other Compass programs and other external stakeholders
  • Conduct tours with prospective children/families and provide orientation to incoming families
  • Oversee, implement and update safety and emergency procedures for the program, including compliance with twice-yearly Safety Month and maintaining mandated emergency supply inventory
  • Assume authority in an emergency and when the Director is not on-site
  • Purchase supplies and complete monthly expense reporting
  • Ensure all families enroll in Sparkler and complete appropriate developmental screenings of their children prior to enrollment at CCC

Benefits

  • Salary range: $75,000 - $85,000 annually.
  • Paid time off: 4 weeks of vacation your first year, 5 in your second. Also paid holidays, sick time, family leave.

  • Retirement: after one year of work, Compass contributes an amount equal to 5% of your salary into a retirement account; this vests over years 2-6.
