About The Position

The Assistant Procurement Administrator assists in the administration of DASNY's procurement processes for goods and services, supporting both internal staff and external clients. This role involves a variety of programmatic, administrative, and clerical tasks, ensuring compliance with established procedures and facilitating effective procurement operations.

Requirements

  • Bachelor's degree or an Associate's degree plus three years of relevant experience, or a High School diploma plus four years of relevant experience.
  • Demonstrated organizational skills and ability to prioritize tasks.
  • Excellent interpersonal, proofreading, oral, and written communication skills.
  • Proficiency in PC applications such as Outlook, Excel, Access, Word, and PowerPoint.

Nice To Haves

  • Bachelor's degree in Business or Public Administration plus one year of relevant experience in a similar sized public organization.

Responsibilities

  • Assist and participate in all phases of DASNY's procurement of professional services and construction contracts.
  • Prepare, process, and review term procurements and related documents.
  • Assist in the preparation and processing of procurement-related documentation, including requests for proposals and bid openings.
  • Coordinate and schedule meetings, including pre-bid meetings and site visits, and prepare meeting minutes.
  • Assist in evaluating vendor responsibility and compliance with contractual requirements.
  • Provide data input into procurement systems and maintain online tracking systems.
  • Ensure compliance with DASNY's procurement procedures and applicable laws.
  • Maintain and revise contract boilerplate documents as directed.
  • Identify potential problems in the procurement process and recommend improvements.
  • Collaborate with Opportunity Programs staff to enhance participation of MWBE and SDVOB in procurements.
