About The Position

The Assistant/Associate Director of Graduate Admissions holds a pivotal role in overseeing the recruitment and admissions processes for prospective graduate students, as well as international students at both the graduate and undergraduate levels. This position manages the entire admissions cycle from initial contact through to enrollment, ensuring high-quality service, strategic outreach efforts, and operational efficiency. In collaboration with internal departments, the Assistant/Associate Director will actively engage in recruitment events within New York State and potentially abroad, while contributing to the development of innovative strategies to achieve enrollment objectives. Reporting directly to the Director of Graduate Admissions, this role serves as the primary support to the Director and provides leadership to a team of professional and administrative staff, with the International Admissions Counselor as a direct report. Working closely with the Director, the Assistant/Associate Director will contribute to key initiatives aimed at advancing the institution's admissions goals and strategic plan. This is a full-time, in-person, on-campus position; virtual or remote employment is not an option.

Requirements

  • Bachelor's degree required from a college or University accredited by the US Department of Education or internationally recognized accrediting organization.
  • Three or more years of admissions/enrollment experience in higher education.
  • Three or more years of experience working with a CRM tool.
  • Three or more years of professional staff supervisory experience.
  • Exemplary written and oral communication skills.

Nice To Haves

  • Master's degree required from a college or University accredited by the US Department of Education or internationally recognized accrediting organization.
  • Experience working with Slate CRM.
  • Experience working with Banner.
  • Knowledge of federal regulations governing international students (F-visa, SEVIS).
  • Experience with international admissions/enrollment.

Responsibilities

  • Develop and execute comprehensive domestic and international recruitment strategies, including agent and industry partnerships, scholarship models, recruitment events, and yield initiatives.
  • Engage prospective students through multiple channels (phone, email, LiveChat, WhatsApp, in-person and virtual sessions).
  • Represent the institution at recruitment fairs and partner institutions worldwide.
  • Maintain strong knowledge of programs, admission requirements, and application and enrollment procedures.
  • Partner with the Director to streamline application processing and review.
  • Manage the selection and evaluation of international and domestic graduate applicants in line with admissions policies.
  • Analyze data and trends to inform recruitment strategies.
  • Assist with preparing reports and presentations on admissions performance and forecasting enrollment challenges and opportunities.
  • Collaborate across departments including Financial Aid, Bursar, Academic Program Coordinators, International Student Services, faculty, and staff to ensure a seamless experience for incoming students.
  • Promote academic programs to prospective domestic graduate and international students.
  • Maintain compliance with federal, state, and institutional policies.
  • Serve as a Designated School Official (DSO) to manage international student visa requirements (I-20s and SEVIS).
  • Design and implement operating strategies, plans, and procedures to ensure smooth functioning of domestic graduate and international admissions.
  • Provide oversight to ensure goals, activities, and practices align with and contribute to SUNY Poly's institutional priorities.
  • Lead employees for maximum performance and dedication, complete performance management requirements, and support continuous improvement efforts.
  • Provide leadership in mentoring, training, and supporting the graduate admissions team, including direct oversight of the International Admissions Counselor.
  • Assist the Director with staff evaluations and performance management to foster professional growth, build team capacity, and ensure recruitment goals are achieved.
