About The Position

The Inventory Assistant Operations Manager supports daily operational and administrative activities related to inventory control across assigned product lines and warehouse locations. As GMLx continues to scale operations and onboard new customers, this role ensures our inventory infrastructure grows efficiently, accurately, and in compliance with all regulatory standards. This role plays a critical part in maintaining accurate inventory records, ensuring compliant storage and handling of medical devices, and supporting seamless order fulfillment from an internal operations perspective. Directly supervise Inventory Specialists, Receiving Specialists, or other assigned staff; conduct coaching, development, and performance reviews. Working closely with Warehouse Operations, Quality, and the broader Operations Team, the Inventory AOM ensures adherence to QMS standards and internal procedures. Promote a continuous improvement culture by encouraging accountability, communication, and quality focus within the team. Success in this role requires strong analytical skills, exceptional attention to detail, and the ability to manage inventory workflows with consistency and urgency. Candidates must be resourceful, organized, and comfortable operating in a fast-paced, highly regulated environment.

Requirements

  • Bachelor’s degree in supply chain management, Logistics, Marketing, Business, or related field.
  • Proven experience in the life sciences, medical device, or logistics industries, with 3PL/4PL experience preferred.
  • Familiarity with ISO certifications, especially ISO 13485:2003.
  • 3–5 years of supervisory experience.
  • Experience in a fast-paced, high-growth environment.
  • Exceptional interpersonal, analytical, and communication skills (written and verbal).

  • A master’s degree or MBA is a plus.

Responsibilities

  • Monitor inventory accuracy by reviewing system records, validating product movement, and driving corrective actions to resolve discrepancies.
  • Support warehouse team members with inventory-related processes and ensure efficient daily flow of product through receiving, storage, picking, and fulfillment operations.
  • Track and manage sterile and non-sterile inventory shelf life, ensuring proper rotation, documentation, and timely handling of expiring or obsolete product per QMS and Quality direction.
  • Assist in maintaining all inventory-designated areas in a clean, organized, and fully compliant state in accordance with OSHA, FDA, and internal GMLx quality standards.
  • Prepare and maintain accurate documentation, logs, and records in accordance with SOPs and QMS requirements.
  • Identify process gaps or inefficiencies related to inventory handling and partner with leadership to recommend and implement improvements.
  • Support month-end and year-end inventory reconciliation efforts, including audits, variance analysis, and reporting.
  • Collaborate with the Quality team on nonconformances, quarantines, controlled inventory actions, and documentation compliance.
  • Assist with data pulls, reporting, and operational metrics related to inventory performance, accuracy, and productivity.
  • Provide coverage for daily operational tasks as needed during peak or staffing gaps.
  • Perform other duties and project-based assignments as required.
  • Develop and maintain department-level KPIs (e.g., inventory accuracy %, cycle count compliance rate, and reconciliation time).
  • Use data analytics tools (e.g., Power BI, Excel dashboards, JASCI reporting) to monitor performance and identify trends.
  • Partner with Operations Leadership to forecast inventory labor requirements based on transactional volume and SKU growth.
  • Support implementation and optimization of the JASCI WMS system for inventory workflows.
