About The Position

Behavioral Health Office Manager is responsible for overseeing the daily operations of the office. Oversee the hiring and training of office employees, and will also need to host office meetings and conduct performance reviews for all employees. They will oversee the effectiveness of office support staff in screening telephone calls and e-mails, accepting payments, insurance verification, eligibility, and scheduling psychotherapy (office and telehealth) appointments. Must have the ability to multitask and work in a fast-paced environment while maintaining the highest level of professionalism.

Requirements

  • Strong written, computer, and communication skills
  • Proficiency in Excel, Word, OneDrive, Telehealth and VIP Phone technologies
  • Knowledgeable about HIPPA compliance
  • Knowledgeable of Behavioral Health basic office practices
  • Positive attitude and a strong work ethic
  • Ability to maintain & update patients' confidential Electronic Health Records (EHR)
  • Must be friendly, energetic, and willing to provide a helping hand
  • Desire to take ownership in overseeing the effectiveness of the day-to-day operation of excellent customer service for the patients, providers and referring community partners
  • Ability to integrate marketing skills with basic office practices
  • Must be at least 21 years old

Responsibilities

  • Oversees the daily work activities of the office alongside the Office Manager
  • Handles and assists with discipline and termination of employees in accordance with company policy
  • Communicates with Clinical Director, relaying important information or policy changes from management
  • Implements incentives to enhance employee productivity
  • Oversees the work of all office employees to ensure they work productively and meet deadlines and company standards
  • Oversees all office support weekly schedules and time-off requests
  • Counsels any employees struggling in their roles
  • Organizes weekly staff meetings
  • Answers telephone calls and emails from customers and patients and directs them to relevant staff when needed
  • Interviews and trains new office employees and organizes their employment paperwork
  • Organizes maintenance companies to keep the office clean and safe and ensure its appliances are in good working order
  • Reports office progress to senior management and works with them to improve office operations and procedures
