About The Position

The Assistant Money Room Manager at Keeneland Association Inc. is responsible for overseeing the accounting of all cash accounts and managing the operations of the money room. This role involves ensuring accurate cash transactions, maintaining internal controls, preparing financial reports, and assisting with the management of money room personnel. The position requires strong accounting skills and the ability to handle cash operations efficiently during sales events.

Requirements

  • Bachelor of Science in accounting or finance preferred.
  • Minimum of at least 2-3 years of relevant experience and/or training.
  • Strong computer skills required, specifically Excel; Sage Intacct experience a plus.
  • Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents.
  • Ability to apply financial mathematical concepts to solve various equations and develop forecasting cash requests.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.

Nice To Haves

  • Experience in a banking or racetrack, Mutuels, or money room position may be substituted for education on a year-for-year basis.
  • Kentucky Horse Racing and Gaming Corporation License.

Responsibilities

  • Assist with the management of the money room as Keeneland's bank for all cash accounts for all departments.
  • Follow established control procedures to ensure proper accounting and safeguarding of money room assets.
  • Ensure accurate deposits are made in an orderly and timely fashion.
  • Reconcile cash disbursements and receipts daily and provide financial reports to Finance.
  • Use CHRIMS system to balance money room assets and post daily journal entries; investigate and reconcile differences with United Tote data.
  • Prepare currency/coin bags for mutuel clerks' daily use and manage cash distributed to mutuel divisions.
  • Assist the Money Room Manager with the reconciliation of clerks daily.
  • Administer clerk overages and shortages and oversee payouts and collections.
  • Prepare weekly pari-mutuel tax reports, track and deposit 945 & 1042 tax payments.
  • Assist Money Room Manager with daily staffing needs of Money Room personnel.
  • Support United Tote with BAM adjustments, Tote buys, and claim releases.
  • Assist with the preparation of Armored Car schedules, receive and verify proper delivery of cash from armored car.
  • Maintain a daily inventory of money and investigate variances as needed.
  • Maintain security of vault and control access of personnel to vault; control the movement of cash in and out of vault.
  • Assist Director of Racing Finance with audit assistance, surprise cash counts, inventory controls, cash accounting procedures, etc.
  • Assist Finance and Mutuel departments with handicapping contests, projects, and assignments as needed.
  • Assist with managing the monthly close process including bank reconciliations, account reconciliations, and preparing and posting various journal entries.
