About The Position

The Assistant Manager is responsible for the daily financial operations of the community, including collecting and posting payments, preparing bank deposits, and processing invoices. This role involves operating property management software, managing resident accounts, addressing delinquencies, and handling evictions and move-outs in compliance with legal requirements. The Assistant Manager also plays a key role in resident satisfaction and retention by promptly responding to inquiries and resolving service issues. In the absence of the community manager, this position acts as the on-site supervisor, delegating tasks, coordinating with maintenance, and overseeing community operations. Additionally, the Assistant Manager supports leasing activities, including showing apartments, processing applications, and preparing lease documents, all while promoting a positive image of the apartment community and management company.

Responsibilities

  • Complete daily transactions and tasks related to the financial operation of the community by collecting and posting rent, fees, and other payments.
  • Prepare daily bank deposits and monthly close out reports.
  • Process invoices and payables.
  • Operate the property management software and complete transactions by entering correctly and by completing updates and back-ups to ensure the integrity of the system.
  • Review resident files and accounting records to determine unpaid and/or late fees owed.
  • Communicate with residents regarding outstanding balances, implement procedures for collecting on delinquencies, and enforce the lease to maximize revenue.
  • Review and submit invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased, obtaining community manager approval, coding charges to appropriate Chart of Account codes, and managing communication between the vendor/contractor, accounting, and the client/owner as needed.
  • Follow the Company’s established procedures related to evictions by following proper notice requirements, evicting residents, and representing the community as required in court hearings and eviction proceedings.
  • Process resident move-outs by reviewing lease terms and notice requirements, applying appropriate deposit and lease cancellation fees, if applicable, and processing the disposition in accordance with established procedures and legal requirements.
  • Promote resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner, and taking appropriate action to resolve and address service issues.
  • Act as the on-site supervisor in the absence of the community manager by organizing and delegating daily work, coordinating maintenance and make-ready tasks with the maintenance supervisor, and managing the operation of the community in compliance with Company policies, procedures, and business practices.
  • Offer support and assist with leasing, showing apartments to prospects.
  • Complete follow-up and process the application.
  • Prepare the lease and move in documents.
  • Promote a positive image of the apartment community and management company.
