Job Summary The Assistant Manager, Transaction Operations serves as the primary support to the Manager and plays a critical leadership role within the transaction team. This position is both strategic and hands on; responsible for daily production, team support, escalation management, and operational continuity. The Assistant Manager acts as a trusted extension of the Manager, helping oversee an office, drive performance, and ensure uninterrupted operations during absences or staffing changes. This role is ideal for a strong problem-solver who thrives in fast-paced environments, leads by example, and balances leadership responsibilities with active production. Location : Split between Chicago, Schaumburg, and Downers Grove Hours : Monday-Friday 8:30a-5p Why This Role Matters This role is essential to the success and stability of the transaction team. The Assistant Manager ensures the Manager can focus on strategic leadership while knowing day-to-day operations, team support, and production are in strong hands.

Requirements

  • Strong experience in transaction operations, real estate operations, or a similar operational environment
  • Proven ability to manage escalations, complex scenarios, and high-volume workflows
  • Exceptional organizational, analytical, and problem-solving skills
  • Confident communicator with the ability to work across teams and leadership levels
  • Detail-oriented with a strong understanding of reconciliation, reporting, and process documentation
  • Demonstrated ability to lead while remaining hands-on and production-focused

Responsibilities

  • Act as the Manager’s right hand, assisting with daily operations and special initiatives as needed
  • Help plan and facilitate team meetings, trainings, and Power Hour sessions
  • Take ownership of training responsibilities for new and existing team members
  • Provide coverage for team members during absences and assist in office coverage when staffing gaps occur
  • Support team morale, accountability, and performance standards
  • Maintain active production pipeline while supporting team operations
  • Oversee complex or unique transaction scenarios, including advanced calculations and non-standard files
  • Handle reopens and Stage 5 escalations
  • Serve as the primary escalation point for administrative issues, agent concerns, and problem resolution
  • Escalate issues to the Manager when appropriate, with clear recommendations
  • Create and maintain management reporting related to production, errors, and performance trends
  • Document new processes, updates, and procedural changes for storage in the shared drive
  • Oversee reconciliation of accounts and resolution of errors, ensuring accuracy and compliance
  • Assist with continuous improvement initiatives to streamline workflows and reduce errors
  • Step in to support the team during PTO, leaves, or unexpected vacancies
  • Assist with onboarding, transition support, or office stabilization when turnover occurs
  • Ensure operational consistency and service levels are maintained at all times
