About The Position

The School of Arts and Sciences (SAS) is the largest academic unit at Rutgers University and the center of the undergraduate experience on the Rutgers-New Brunswick campus and is comprised of 41 academic departments spanning the liberal arts. Rutgers, The State University of New Jersey is seeking an Assistant Manager (Operations) for the Department of Physics and Astronomy within the School of Arts and Sciences. The Assistant Manager (Operations) serves as the department's central authority for procurement, facilities coordination, inventory management, building access control, and logistical operations across four buildings that house multimillion-dollar research infrastructure and support hundreds of faculty, staff, and students. Working closely with the Director of Administration, Finance, and Operations, the Assistant Manager (Operations) partners with Rutgers Procurement, Institutional Planning & Operations (IP&O), the School of Arts and Sciences (SAS), and Public Safety on contract processing, capital planning, and compliance matters.

Requirements

  • Bachelor's degree and 2 years of experience in procurement and operational coordination within a complex organization or an equivalent combination of experience and/or education in business administration, supply chain, logistics, or related field.
  • Strong analytical skills.
  • Experience with SciQuest Marketplace, PaymentWorks, and asset management systems.
  • Deep knowledge of procurement regulations, contract negotiation, and university policies.
  • Demonstrated ability to multitask, lead projects, and problem-solve independently.

Nice To Haves

  • Five years of experience in procurement and operational coordination within a complex organization.
  • Prior experience supporting STEM research in an academic or lab setting.
  • Familiarity with capital equipment tracking, federal compliance, and space planning.

Responsibilities

  • Manages high-volume purchasing, stockroom operations, shipping and receiving, coordinating work orders, and the full lifecycle of capital equipment inventory.
  • Administers departmental building access control systems to maintain security and accountability.
  • Supports the Department of Physics & Astronomy in sustaining its instructional, research, and administrative missions effectively.
