The Assistant Manager I position within the District Clerk Passport Section is a vital role that involves assisting in the management of processing activities across various responsibilities. This position requires planning, assigning, and supervising the work of others while establishing goals and developing schedules, priorities, and standards to achieve these goals. The Assistant Manager will coordinate and evaluate processing activities, ensuring that all operations run smoothly and efficiently. This role also includes supervising both exempt and non-exempt staff, providing guidance and support to ensure compliance with applicable laws, policies, and procedures. In this capacity, the Assistant Manager acts as a technical expert and liaison, communicating effectively with staff, elected officials, judges, attorneys, other departments, and the general public to resolve complex problems or issues. Monitoring work processes is a key responsibility, as is providing feedback and collecting data for performance measures. The Assistant Manager will establish goals and objectives, recommend and implement process improvements, and ensure that the team is adequately staffed by hiring and training new employees. Evaluating performance, initiating disciplinary actions, coordinating leave, and maintaining time and attendance reports are also essential functions of this role. The Assistant Manager will maintain knowledge of applicable laws and recommend changes as necessary, developing and incorporating updates to policies and procedures. This position may also involve representing the department in oral presentations, hearings, trials, and legislative meetings, interacting with the judiciary, law enforcement, and other agencies to communicate ideas and solve problems. Additionally, the Assistant Manager may coordinate community service programs and activities, assist with budget preparation, and maintain related data and reports. Other duties may be assigned as needed.
