About The Position

The Impact, Inclusion & Advocacy department works across the company portfolio to create programs and activations that benefit the greater good, focusing on client impact/philanthropy, employee engagement/volunteerism, government relations, external initiatives that support the communities where we live and work, and leading the company’s 501c3 foundation.

Requirements

  • Minimum of 1 year of general business and administrative experience required, preferably supporting multiple senior leaders.
  • Excellent organizational and time management skills, with the ability to balance competing priorities in a fast-paced environment.
  • Proficiency with Outlook, Microsoft Office Suite (& Google equivalents); Zoom; and invoicing platforms such as SAP Concur is required.
  • Strong communication and interpersonal skills, with the ability to interact professionally with internal and external stakeholders.
  • Consistent, dependable, and accurate in completing responsibilities and tasks.
  • Meticulous attention to detail and a commitment to maintaining confidentiality.
  • Strong problem-solving, critical thinking, and analytical skills.
  • Ability to work independently and collaboratively as part of a team.
  • Flexibility to work occasional evenings or weekends as needed for events.

Responsibilities

  • Provide direct administrative support to three VPs on the Impact, Inclusion & Advocacy team, including calendar management, inbox oversight, scheduling, and expenses.
  • Organize and prepare agendas, materials, follow-up notes, and action items for meetings.
  • Coordinate and manage internal reporting, and ensure department files and shared documents are up to date.
  • Arrange international and domestic travel, accommodations, off-site meetings, and event logistics for VPs and department staff.
  • Prep for end-of-day (EOD) meetings with VPs; review to-do’s, pinned and flagged emails, schedule and run through meeting approvals.
  • Provide event support for department activations: book conference rooms, print materials, order catering, greet externals, and act as the primary point of contact for visitors.
  • Track, maintain, and update VP's and department contact lists.
  • Support on project-based needs and deliverables.
