About The Position

The Assistant Facilities Manager plays a crucial role in supporting the Facility Manager with tactical planning and overall facility management services. This position involves coordinating maintenance activities, managing work orders, and ensuring quality customer service while monitoring facility operations to meet key performance indicators (KPIs) and service level agreements (SLAs).

Requirements

  • Bachelor's Degree or equivalent work experience in Facilities Management or Property Management required
  • Minimum of two (2) years of industry experience required either in the corporate environment or as a third-party service provider
  • Strong leadership and relationship building skills
  • Strong interpersonal skills and problem-solving ability
  • Excellent verbal/written communication and presentation skills
  • Proven record of providing excellent internal and external customer service
  • Strong knowledge of Microsoft Office products such as Office, Outlook, Excel, etc.

Responsibilities

  • Assist Facility Manager with tactical planning for the site as needed or requested
  • Assist with ordering of office supplies, consumables, PPE, etc.
  • Provide general overall facility management services including continuous monitoring of office/facility
  • Support work order management for in-house staff and vendors as necessary
  • Assist with the coordination and scheduling of maintenance activities
  • Coordinate special events in support of client or JLL
  • Support facility soft services such as meetings preparation, conference room reservations and set up, food services, vending, and badging
  • Act as an interface with client, vendors, visitors and guests with a focus on providing quality customer service
  • Ensure appropriate follow up with customers
  • Provide direction/information to vendors, facilities staff and service providers as required
  • Monitor and report to the Facility Manager on the facility operation
  • Assist with budgetary requests, analysis, and reporting
  • Implement and monitor hazard control and team safety practices
  • Manage site level invoicing as required
  • Manage all work orders for the site within the JLL CMMS System
  • Perform any and all other tasks and duties assigned
