About The Position

Responsible for ensuring a fluid work environment within the office of Vice President(s) and direct report leadership teams at Universal Kids Resort. Performs administrative and office management duties including managing calendars, coordinating meetings, handling travel arrangements and expenses and other project tasks as assigned. Uses initiative and good judgement; works independently with little supervision and maintains strict confidentiality. Ensures alignment with processes and procedures across New Ventures and UDX.

Requirements

  • Strong organizational skills, ability to multi-task.
  • Strong proficiency in Microsoft Suite and Outlook.
  • Strong attention to detail and ability to work numerous projects and priorities at once.

  • Consistent attendance is a job requirement.
  • 3+ years of senior administrative or coordination experience is required; or equivalent combination of education and experience.

Responsibilities

  • Provides administrative support for the Vice President and corresponding executive(s) and department that may include typing, mailing, emailing, copying and other essential administrative duties.
  • Maintains executive(s)' calendar, coordinates meetings with internal and external parties and makes all necessary appointments. Ensures timely updates and communicates meeting updates and changes. Completes all expense reporting responsibilities in accordance to UDX T&E policies and procedures. Submits all necessary travel arrangements for the UKR Leadership team to ensure cost efficiencies and adherence to the UDX T&E policies and procedures.
  • Initiates and follow-ups on action items for new and/or routine projects, processes, and/or policies. Coordinates with other departments, across New Ventures and UDX, and/or external sources. Serves as a liaison with other departments in acquiring and maintaining technology, supplies, onboarding, workspace coordination, sourcing and other logistical needs through standard UDX procedures.
  • Develops, organizes, and maintains reports, spreadsheets, databases, presentations, and/or files as appropriate and required. Generates UKR correspondence and disseminates data/information to the appropriate parties across UKR and New Ventures for alignment and standardization.
  • Screens/prioritizes/directs incoming calls and mail/correspondence, taking appropriate actions as necessary. Assists with invoices payment processing as required.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UDX policy, procedures, training, and Team Member involvement activities.
  • Perform other duties as assigned.
