About The Position

The Assistant Director of Research Support Services at the University of Pittsburgh is responsible for overseeing and streamlining research administration processes, including purchasing, billing, grant and contract administration, and compliance. This role involves managing both pre- and post-award functions, acting as a liaison with stakeholders, and implementing operational improvements to enhance efficiency in research support services.

Requirements

  • Bachelor's Degree in a relevant field.
  • Minimum of 5 years of experience in research administration or related area.
  • Combination of education and relevant experience will be considered in lieu of education and/or experience requirement.

Responsibilities

  • Manage purchasing, billing, and grant administrative functions.
  • Track, reconcile, and approve invoices and expenses.
  • Monitor accounts and resolve complex accounting issues.
  • Direct the preparation of grant budget proposals and necessary documentation.
  • Oversee vendor contracts, negotiations, reconciliations, and renewals.
  • Research price and service comparisons to negotiate pricing and improve supply management.
  • Supervise staff, including hiring, performance reviews, and disciplinary actions.
  • Manage work schedules and approve timecards.
  • Provide professional development opportunities and review work.
  • Manage pre- and post-award processing and documentation.
  • Prepare complex reports, financial statements, and projections.
  • Serve as a liaison between internal and external stakeholders, including funding agencies and auditors.
  • Establish, interpret, and ensure compliance with fiscal policies, procedures, and regulations.
  • Identify and implement changes to improve operations and accounting processes.
  • Assist with special projects and new initiatives as needed.
