About The Position

The Assistant Director of Operations and Events (O&E) is responsible for assisting the Associate Director in oversight of Residence Life buildings and spaces, summer conferences, operational services, and supervision of assigned staff. The AD will provide the day-to-day management and oversight of the operational duties and responsibilities for O&E. This includes active oversight of full and part-time staff members, direct oversight of residence life facilities, submitting work requests, space and furniture inspections, oversight of fire-life-safety systems, and working collaboratively with appropriate entities to address custodial, maintenance and facility needs. The position assists with ensuring residence hall buildings, apartments, corps dorms, support buildings, events, and conferences receive the best possible care and service. The Assistant Director will also assist the Associate Director in the overall oversight of the unit, including developing, managing, and overseeing the summer renovation and construction projects. The Assistant Director will be responsible for assisting with the response to after-hour facility emergencies within all residence life facilities. The Assistant Director will assume responsibility for the O&E office in the absence of the Associate Director.

Requirements

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.
  • Six years of progressive management experience.
  • Prior experience in facilities management, working with contracted service providers, and direct supervision of full-time staff.
  • This role requires proven leadership capability in managing people, operations, and vendor relationships.
  • Class C Driver License
  • Ability to effectively communicate both orally and in writing.
  • Excellent communication and presentation skills.
  • Proven organization and problem-solving skills in a fast-paced environment.
  • Strong planning and organizational skills with the demonstrated ability to multitask.
  • Must be able to work independently, make decisions and exercise discretion.
  • Experience in developing policies, procedures, and operational guidelines.
  • These duties include ability to climb stairs, use a video display terminal, talk and hear, and travel from building to building.
  • These duties will require the ability to sit, talk, hear, see, bend/stoop, climb, kneel/squat, and ability to move light, medium or heavy objects up to 50 pounds without assistance

Nice To Haves

  • 6 years of administrative experience in residence life.
  • Master’s degree from an accredited college or university in a relevant field.
  • Demonstrated budget development, monitoring, and fiscal management experience.
  • Renovation and construction management experience with a residential or facilities environment.
  • Knowledge of facilities operations, maintenance coordination, and space management.
  • Strong ability to collaborate with campus partners, facilities teams, and external stakeholders.

Responsibilities

  • Staff Supervision/Management
  • Assume responsibility for management and supervision of the Program Coordinator (PC) staff
  • Supports PCs in supervision and management of the student staff
  • Provide training and development opportunities as needed for full-time staff
  • Assists in the support of training and development opportunities for student staff
  • Facility Oversight
  • Provide day-to-day support for a portfolio of residence life facilities, including building prep, building walkthroughs, and assisting with O&E tasks
  • Work with the PCs to manage the day-to-day operation of all facilities related issues in the residence halls
  • Address safety/risk management issues as they arise
  • Liaison with facilities management, SSC Services for Education, and others to support building operations and ensure resident facilities are well maintained
  • Submits work orders on behalf of the department
  • Coordination
  • Provide updates to residents and live in staff regarding status of work orders and other facilities related issues by communicating relevant information to stakeholders (parents, students, staff) as needed regarding facility conditions, work status, work order tracking, etc
  • Work to ensure building readiness, timely completion of work orders, and other logistical needs of the residence halls
  • Work with live in staff, SSC, facilities management and others to ensure a well maintained and positive living environment for students
  • Assist with the oversight, preparation, and coordination of building usage for summer ops. Opening/closing, interim housing, etc

  • Support supervisor in the management of the O&E unit
  • Assume leadership when Associate Director is not present
  • Works collaboratively with others to support staff and students
  • Effectively collaborates with internal and external stakeholder to follow-up on concerns
