JOB SUMMARY: Under the general direction of the Director of Research and Reports, this position serves as a key institutional leader responsible for supporting data owners to ensure the accuracy, integrity, and timely submission of all state and federal reporting. The role provides strategic oversight of data governance, manages complex reporting workflows, strengthens cross departmental collaboration, and drives greater reporting efficiency through process improvement and technology innovation. The Assistant Director functions as a subject matter expert in Florida state reporting, leads quality assurance efforts, supports institutional planning and accreditation activities, and partners closely with departments across the college to advance data informed decision making. This position provides significant operational leadership and is a critical contributor to institutional compliance, accountability, and continuous improvement.

Requirements

  • Bachelor's degree in mathematics, computer science, social science, or related discipline and at least two (2) years of experience in higher education reporting required
  • Strong computer skills, including proficiency in Microsoft Windows, Word, Excel, Access, PowerPoint, and Outlook
  • Proven experience with data collection, management, and analysis using query tools like SQL or SAS and statistical software like SPSS
  • Familiarity with data visualization tools and techniques
  • Strong verbal and written communication skills and experience presenting complex information and data in a comprehensive and actionable format to audiences of various backgrounds
  • Knowledge of FERPA and experience working with sensitive, personally identifiable student and employee information
  • Strong organization and time-management skills with experience prioritizing and managing multiple projects simultaneously and meeting deadlines
  • Ability to work independently and collaboratively as an effective member of a team
  • Ability to work effectively with college staff and administrators on all levels
  • Familiarity with primary higher education operations such as student recruitment and admissions, financial aid, enrollment, retention, instructional design and delivery for course success, completion and transfer
  • Experience working with Florida’s state reporting requirements
  • Demonstrated self-motivation with the ability to handle multiple priorities and assignments, and function independently with minimal supervision

Responsibilities

  • State and Federal Reporting Lead the preparation, validation, and submission of all state and federal reports including personnel, facilities, FETPIP, IPEDS, and other mandated submissions.
  • Oversee reporting timelines, compliance requirements, and workflow coordination to ensure submissions meet all state and federal standards.
  • Recommend improvements to statewide reporting processes and documentation, ensuring institutional alignment with evolving regulations.
  • Data Quality and Governance Provide operational leadership for reporting databases (student, admissions, personnel, facilities, excess hours) including oversight of data integrity, validation protocols, and SME coordination.
  • Serve as secondary authority to the Director in the submission and reconciliation of all FLDOE submissions.
  • Strengthen institutional data governance by enforcing quality standards and promoting consistent data definitions, practices, and documentation.
  • Reporting Infrastructure, Tools Development Design, build, and maintain reporting calendars, dashboards, and tracking systems to monitor compliance and improve workflow transparency.
  • Lead the development and implementation of quality assurance frameworks that enhance accuracy and streamline validation processes across departments.
  • Introduce new efficiencies in reporting through automation, structured documentation, and enhanced use of reporting tools.
  • Systems, Technical Expertise and process innovation Utilize ERP systems and advanced analytical tools (SQL, SAS, Access, Excel, BI tools) to extract, transform, and analyze data for reporting purposes.
  • Partner with IT, systems analysts, and data owners to troubleshoot data issues, optimize data pipelines, and refine data structures supporting state reporting.
  • Identify and implement technical enhancements that reduce errors and increase efficiency.
  • Data Analysis and Institutional Reporting Prepare data for audits, accreditation, planning initiatives, and annual institutional reporting.
  • Respond to internal data requests and produce well-designed dashboards and reports for diverse audiences.
  • Develop queries, reports, and analyses that support institutional performance metrics, student success measures, and compliance tracking
  • Communication, Training and Compliance Translate complex reporting requirements into clear guidance for internal stakeholders, including both technical and non-technical audiences.
  • Maintain expert knowledge of FERPA, internal policies, and data privacy requirements; ensure reporting practices meet all compliance standards.
  • Provide training to departments on reporting expectations, data workflows, and data quality best practices.
  • Collaboration, & Governance Integration Build and maintain strong partnerships with academic, student services, HR, and administrative units to foster a culture of data accuracy and accountability.
  • Support college-wide data governance activities and lead collaborative efforts to improve data integration and reporting consistency.
  • Other duties as assigned.
