About The Position

As the Assistant Director of Properties (ADP) with AOII, you will be a key member of the Properties team, fostering a customer-centric focus to colleagues, assigned networks, House Directors, volunteers, and chapter leadership, ensuring all operational, maintenance, and housing needs are met. This is done through providing day-to-day administrative support, property management oversight, and strategic planning for chapter housing projects. The primary focus for the ADP is to serve as the main point of contact for all assigned collegiate chapters’ corporation budget, safety, and facility functionality and success. The ADP at AOII will interact frequently with the AOII Properties team and AOII stakeholders.

  • Strong presentation skills regarding analysis on property assessments, overall chapter health and recommendations on future Capital Expenditure projects
  • Strong budget management skills
  • Bachelor’s degree
  • Ability to effectively read, write, and speak the English language
  • Physical mobility and dexterity to transport files and operate general office equipment (telephone, fax, copier, computer, etc.)
  • Experience in the Microsoft Office Suite (Word, Excel, PowerPoint and Outlook)
  • Must be able to work evening and weekend functions as necessary
  • Must be willing and able to travel, possibility of international travel; must have or able to obtain passport

Nice To Haves

  • Membership in a Fraternity/Sorority preferred
  • Two years of relevant experience preferred

Responsibilities

  • Provide exceptional customer service through phone, email, and interpersonal interactions with collegiate chapters, alumnae members, and House Directors.
  • Oversee property maintenance and repairs, ensuring competitive and safe housing by liaising with vendors, obtaining quotes, and approving contracts.
  • Obtain schedule(s) for property maintenance and repairs from facility House Director or officer who oversees chapter property.
  • Partner with assigned Assistant Director of Collegiate Experience on overall chapter(s) health, member suspensions, and special statuses.
  • Act as the primary point of contact for chapter corporations, managing the member contracting process.
  • Work closely with the accounting team on budgeting for chapter corporations and property-related expenditures.
  • Partner with volunteers and staff to advance the functionality and success of assigned chapter housing, ensuring effective communication with key stakeholders.
  • Partner with the Assistant Director of Facility Enhancement in the planning and execution of chapter facility groundbreakings, house dedications, and other significant property events.
  • Perform on-site property assessments and assist with future project planning, including major repairs and capital expenditure projects.
  • Obtain vendor quotes.
  • Review vendor contracts.
  • Review, approve, and process vendor invoices through the guidelines of Standing Rule 13: Chapter Corporations and Chapter Housing, Section 5: Acquisition and/or Development of Chapter Facilities.
  • Participate in assigned on-call schedule.
  • Implement and maintain processes for House Directors on the opening and closing procedures of chapter facilities.
  • Conduct education and training for volunteers, employees, and collegiate leadership on housing policies, operations, and best practices.
