JOB SUMMARY The CV Assistant Director of Operations will be responsible for leading projects that increase organizational efficiency and efficacy through improved operational processes. The CV Assistant Director of Operations will also assist the CV Director of Operations in providing exceptional service and support to Aspire’s schools, regional offices, and home office departments to ensure their operational success. The emphasis of this role is to work effectively with home office team mates, teachers, office managers, principals and other team members to understand, support, and (when necessary) reengineer current practices and tools. Success in this position requires an entrepreneurial approach to problem-solving, a strong quantitative and qualitative analytical skill set, penchant for rooting out inefficiencies, and the empathy to understand the challenges faced by educators at Aspire. The ideal candidate will have K-12 experience, strong customer service skills, data analysis skills, and project management skills.

Requirements

  • Bachelor's degree
  • 7+ years of field experience in education
  • 3+ years of school or district operational system leadership experience
  • Experience developing, implementing, and refining policies and/or procedures
  • Strong written and oral communication skills
  • Experience working in a fast-paced, high-capacity work environment
  • Proficiency with Microsoft and Google Suites
  • Strong organizational, planning, time management, and multi-tasking skills

Responsibilities

  • CALPADS, FRL/LCFF Forms Collection, Data Processing and Systems, & Process Improvement
  • Lead continuous improvement efforts to streamline regional and organizational operational processes, increasing efficiency and reducing cost.
  • Design, implement, and support scalable systems and workflows that improve data accuracy, compliance, and school-level execution.
  • Conduct business and technical needs assessments to support system implementation, integration, and data quality.
  • Lead effective rollouts of new tools, platforms, and operational systems; serve as a regional champion for adoption and end-user success.
  • Utilize Aspire’s data infrastructure to analyze operational, enrollment, compliance, and performance data to inform decision-making.
  • Ensure effective communication and alignment across Home Office teams, regional leadership, and school sites.
  • Manage third-party vendor relationships related to data systems and operational tools.
  • Regional Operations Leadership & Support
  • Support and supervise direct reports, including regional and Home Office operations teammates.
  • Provide oversight and support to the Home Office Special Projects Manager in managing day-to-day Central Office operations, including:
  • Office organization, functionality, and protocols
  • Coordination with property management and IT
  • Staff support requests and office coverage planning
  • Set and communicate a vision of operational excellence across the region.
  • Lead and facilitate regional operations meetings with Home Office, regional, and school site leaders.
  • Ensure consistent implementation of procedures related to enrollment, nutrition, compliance, and internal audits.
  • Maintain an unwavering commitment to continuous improvement, risk mitigation, and year-round school support.
  • Charter Renewal & Authorizer Relations
  • Manage the full charter renewal lifecycle for regional schools, including timelines, project plans, and deliverables.
  • Collaborate with regional leadership, Home Office Operations, Advocacy, and Education Compliance teams to prepare and execute charter renewals, petitions, and material revisions.
  • Contribute to charter renewal content development, including data analysis, visualizations, narrative drafting, editing, and compliance alignment.
  • Liaise with authorizing districts and regional strategic partners.
  • Coordinate school site visits for community leaders, elected officials, and authorizers.
  • Partner with executive leadership on renewal strategy, advocacy, and public hearings preparation.
  • Enrollment Systems & Strategy
  • Oversee year-round student recruitment and enrollment processes across the region.
  • Manage regional enrollment timelines, SchoolMint configuration, lottery execution, and reporting.
  • Produce and analyze weekly enrollment and application funnel reports.
  • Partner with Engagement & Advocacy teams on outreach, marketing, and enrollment campaigns.
  • Collaborate with Equity teams and Pro-Black Coordinators to improve enrollment of Black/African American students.
  • Identify enrollment challenges and redesign improved systems and strategies.
  • Serve as regional liaison with external enrollment platforms and partners as applicable.
  • Business Manager Support & Development
  • Lead selection, coaching, and development of school Business Managers.
  • Regularly visit schools to monitor operational progress and build principal capacity to support Business Managers.
  • Coach Business Managers on systems leadership, compliance, team effectiveness, and operational execution.
  • Support goal setting, progress monitoring, and alignment with regional and Home Office priorities.
  • Co-design and co-lead professional development, Communities of Practice, and retreats for Operations Managers and Business Managers.
  • Drive regional consistency in enrollment processes, audits, and compliance practices.
  • Align hiring, onboarding, and evaluation processes for school operations staff.
  • Internal Audits, Compliance, & Risk Management
  • Ensure regional compliance with all federal, state, authorizer, and Aspire requirements (e.g., SARC, SSC, ELAC, Title I, LCAP, WASC).
  • Develop and manage compliance calendars, project plans, and reporting timelines.
  • Lead internal school site audits in partnership with Home Office Operations and Human Resources.
  • Analyze audit findings, provide actionable feedback, and support corrective actions.
  • Monitor policy changes through CCSA, ESSA, and other regulatory bodies and implement necessary adjustments.
  • Provide direct consultation and technical assistance to school leaders.
  • Oversee Independent Study compliance, including attendance, contracts, and instructional minutes.
  • Facilities, Health Services, & Nutrition Programs
  • Serve as liaison between school leaders and landlords to address facilities concerns and emergencies.
  • Support procurement and vendor management related to facilities, health services, and nutrition programs.
  • Provide regional oversight of student health services, student records compliance, and emergency planning.
  • Ensure full compliance with local, state, and federal nutrition program requirements.
  • Plan and deliver professional development for nutrition and health services staff.
  • Vendor Management
  • Oversee regional and Home Office operations vendor relationships.
  • Serve as primary point of contact for vendor contracts, renewals, negotiations, and service-level agreements.
  • Identify preferred vendors and cost-saving opportunities.
  • Act as liaison between vendors, regional leadership, and school sites.
  • District, Political, and Community Partnerships
  • Support family engagement, advocacy, and community partnership initiatives aligned with Aspire’s mission.
  • Coordinate elected official, authorizer, and community partner visits.
  • Maintain local relationships that support charter renewal and authorization.
  • Support Community Schools Grant initiatives and school-site leaders.
  • Collaborate with regional and Home Office teams to strengthen family engagement systems and communication strategies.
  • Board Clerk for Aspire Central Valley Region Board of Directors
  • Prepare, post, and maintain Board agendas, meeting packets, resolutions, and supporting documentation in compliance with Brown Act and authorizer requirements.
  • Record, finalize, and archive accurate Board meeting minutes and official actions.
  • Manage Board calendars, meeting schedules, and annual governance timelines.
  • Ensure timely posting of public notices, agendas, and materials in accordance with statutory deadlines.
  • Maintain official Board records, policies, bylaws, and governance documents.
  • Coordinate Board communications, signatures, and document execution.
  • Support Board committees and special meetings as needed.
  • Partner with Legal, Compliance, and Executive Leadership to ensure governance practices align with Aspire policies and regulatory requirements.
  • Serve as a liaison between Board members, executive leadership, and Home Office teams to support effective Board operations.
