About The Position

The Assistant Director of Admissions for Operations is responsible for all admission operations functions for the Office of Undergraduate Admissions in three key areas of responsibility: (1) oversight of all prospect record data, Salesforce CRM processes and functionality, data accuracy/integrity and reporting, and efficient flow of student applications through our CRM and processes, (2) oversight for lead generation partners and search prospect relationships, (3) functions as technical and project manager for daily operations, as well as major Admissions projects. In addition, the Assistant Director is responsible for leveraging operation data and analysis to drive recruitment strategy. Requirements

  • Bachelor's degree in Business Administration or related field
  • Demonstrated leadership and supervisory skills including conflict resolution.
  • Demonstrated ability to work independently, as a part of a team, or to lead projects as directed
  • Excellent planning and organizational skills.
  • Excellent oral and written communication skills.
  • Demonstrated fluency with all constituencies including students, families, college admission professionals, faculty, staff and other university professionals.
  • Strong budget planning and financial forecasting.

  • Strong analytical and problem-solving skills.
  • Strong expertise in business and management computer applications and databases.

  • Strong knowledge of higher education regulatory requirements.

Responsibilities

  • Works closely with the Dean of Enrollment (DOE) to ensure easy processes for the enrollment staff and a seamless experience for applicants as they proceed through the admissions cycle.
  • Oversees annual lead purchases through third party vendors for multiple enrollment cycles in collaboration with the Associate Director of Marketing.
  • Responsible for collaborating with DOE for annual budgeting and for Operations budget planning, spending, and variances.
  • Assists in the creation and execution of additional facets of Admission’s operations.
  • Work directly with vendor imports to ensure file formatting accuracy, accurate and timely imports, and data integrity.
  • Maintain records of admissions operations policies and procedures.
  • Generate an annual report for the Office of Undergraduate Admissions and Dual Enrollment under the direction of the Vice President of Student Life and Enrollment.
  • Serve as Salesforce power user and troubleshooter for the Admissions Office.
  • Provide technical support for the Admissions Office, as needed.
  • Responsible for learning and gaining functional expertise in Salesforce (CRM) in order to support staff members and oversee Admission’s operations and recruitment strategy.
  • Works closely with the Information Services Technology department and Salesforce Admin Team to continue to develop, enhance, and build operational efficiencies by translating the admissions department’s needs into workable solutions in CRM as well as reporting needs and solutions.
  • Works alongside IT on all system modifications and upgrades that impact Admissions. Includes working with Salesforce and Salesforce products, document storage systems, Business Intelligence, and assessing the functionality and efficiency of these various systems.
  • Oversees third-party lead generation and search relationships in collaboration with the Associate Director of Marketing.
  • Liaisons with consulting group to define search and lead generation needs and relationships.
  • Is responsible for annual search purchases through third parties for multiple enrollment cycles.
  • Oversees data integrity, funnel reporting, and data analysis for enrollment and reporting purposes.
  • Analyzes enrollment management data working directly with DOE and Financial Aid, liaisons with RNL ERMS consultants.
  • Oversees research, compiles, analyzes, and synthesizes various data from past and current Admissions events to help the Dean of Admissions and recruitment staff determine impactful recruiting opportunities and strategies for the benefit of university growth.
  • Create and manage tracking reports and provide analytical support to the Director and other staff.
  • Fulfill data requests required for management decisions.
  • Support data integrity and data standards within the Admissions Office.
  • Assist with data tracking and analysis regarding prospective students' indicators to enroll.
  • Analyze statistical information to assist in assessing recruitment strategies.
  • Accurately track and maintain records of incoming student scholarship awards and execute admission letters ensuring accuracy and timeliness.
  • Serve as communication liaison with Recruitment, Marketing and Events, Operations staff, and Enrollment senior staff with regard to reporting, data integrity, data generation, and analysis.
  • Identify population, create reports, and generate admission letters and other written communication to prospective students on a daily/weekly/monthly basis.
  • Quality control all written communication to ensure accuracy, secure live signatures, and complete mailings.
  • Interview, train, and manage student workers for data entry and general office duties.
  • Assist with special projects and assume other appropriate responsibilities as delegated by senior staff.
  • Create and maintain office training and procedures documentation for operations and recruitment for Salesforce and other key systems.
  • Support undergraduate admissions efforts by attending and actively participating in campus events, outreach activities, and related initiatives as required.
  • Perform all other duties as assigned.
  • Conducts hiring, training, and coaching of the Admissions Operations Team, comprised of a Data, Admissions Operations and Transfer Specialist, Operations Analyst, a Graduate Assistant, and multiple student staff members.
  • Professional staff is responsible for data input, processing application-related documents, generating and resolving data integrity reporting, troubleshooting account issues, preparing enrollment reports, analyzing enrollment data, and processing invoices.
  • Insures Admissions Operation Team has consistent routines, and protocols surrounding daily activities and are cross-trained to maintain productivity.
