The Graham School seeks an Assistant Director of Non-Credit Programs to support programs including the Basic Program of Liberal Education for Adults, Open Enrollment courses, and Travel Study programs. This position will provide direct student support via management of the general Graham School email inbox, onsite support during in-person classes at the Gleacher Center, and collaborative work with other program team members. Additionally, the position will manage several duties related to the development and delivery of these programs.

  • Provides onsite support to students and instructors at the Gleacher Center during in-person class hours, 5 days/week, Tuesday-Saturday.
  • Manages classroom setup and provides A/V support to instructors.
  • Schedules classroom usage for courses and events, in collaboration with Director of Academics, Basic Program Chair, and Assistant Director of Events.
  • Liaise with Gleacher building staff, including security and catering teams, as needed during in person courses and events.
  • Serves as the first point of contact for students about a wide range of program matters, including registration, online resources, technical problems, course materials and events.
  • Monitors Graham School, Basic Program, and Graham Registrar email inboxes and general Graham school phone line for student inquiries, and responds to or directs queries to the appropriate party.
  • Owns open enrollment instructor contracting process (contract creation, distribution, and tracking) in partnership with Director of Academics and Basic Program Chair.
  • Manages course evaluation process on a quarterly basis.
  • Answers instructor questions about course materials, technical needs including Zoom and Canvas navigation, course scheduling adjustments, and makeup sessions.
  • Supervises up to two student workers to assist with administrative tasks.
  • Owns course creation process for registration system and Canvas on quarterly, annual, and as needed basis.
  • Creates Zoom accounts for instructors and manages course link creation for online courses.
  • Assists with instructor recruitment and course selection process through Calls for Proposals.
  • Keeps records of Basic Program certificate progress, course helper documents and course lists, and enrollment tracking.
  • Supports non-credit events with reception duties and technical support as needed.
  • Partners with Marketing team on course image selection for quarterly website updates, promotional scheduling, event recording delivery, and other tasks.
  • Collaborates with Assistant Director of Travel Study to support events, gift orders, and other tasks.
  • Uses moderate/solid understanding and experience to administer the delivery of services to program participants and/or beneficiaries.
  • Sets and communicates program priorities and performance standards and assesses operations using these criteria.
  • Plans and conducts quality assurance reviews and recommends changes as appropriate.
  • Performs other related work as needed.
  • Minimum requirements include a college or university degree in related field.
  • Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.
  • Customer service experience.
  • Proficient with technology and software including Microsoft Office suite, Zoom, and Canvas.
