Integrated Wellness is a department within the division of Student Affairs that delivers comprehensive health and wellness services and support to the student community. Integrated Wellness consists of a Director, an Assistant Director as outlined in this job description, staff Nurse Practitioner(s) and Mental Health Therapist(s), and clinical trainee(s). Integrated Wellness provides on-site medical and mental health care for students, designs and delivers student wellness programming, and provides frontline customer service to various stakeholder groups for Integrated Wellness initiatives. Reporting directly to the Director of Integrated Wellness, the Assistant Director is responsible for providing leadership, coordination, and advising within the above-listed department work areas, with a specific focus on student wellness programming and operational support. The Assistant Director supports student success by coordinating and executing wellness programming aligned with best practice in higher education in the areas of medical and mental health. The Assistant Director also oversees the daily operations of the medical and mental health clinics for students including appointment scheduling, payment processing, and support for clinical staff, including the Director. Because of the sensitive nature of the work, the Assistant Director must exercise excellent discretion and uphold the highest standards of privacy and confidentiality, especially regarding student medical and mental health records in compliance with the Family Educational Rights and Privacy Act (FERPA) and the Health Insurance Portability and Accountability Act (HIPAA). This position is ideally suited to a seasoned administrative, education, or clinical professional with excellent communication skills who is both detail-oriented and big-picture focused, tech-proficient, and able to represent Integrated Wellness’s mission of student-centered care.

Requirements

  • Graduate level degree from an accredited college or university in Student Affairs, Equity & Diversity, Education, Health Science, Counseling, Social Work, or other closely related discipline
  • 1-3 years of experience in higher education administration, customer service, educational, healthcare, or related organizational experiences
  • Demonstrated experience working with students and event planning
  • Demonstrated project management experience
  • Excellent communication, organization, and problem-solving skills
  • Record of a high level of conscientiousness, follow-through, attentiveness to detail, and organizational skills to prioritize tasks and meet deadlines
  • A commitment to enhancing diversity, equity, and inclusion on campus
  • Cultural competence, cultural humility, and experience working with students from various identities and lived experiences
  • Maintain confidentiality and professionalism in all interactions including strict compliance with institutional policies and relevant privacy regulations including FERPA and HIPAA
  • Demonstrated record of outstanding customer service, phone etiquette, interpersonal skills, and written and verbal communication skills
  • Excellent technical skills including: accurate typing skills of 50+ wpm, proficiency in Microsoft Office suite (Word, Excel, and PowerPoint) and Google suite (particularly Sheets), and social media and basic graphic design savvy (Canva or similar)
  • Willingness to learn and use university databases/ software systems as needed
  • Commitment to teamwork and working across teams when necessary

Nice To Haves

  • Previous work experience in a College/ University medical and/ or mental health center
  • Experience with triage or intake processes
  • Familiarity with Medicat or other electronic health record (EHR) systems
  • Bilingual or multilingual

Responsibilities

  • Provide front-line customer service to students seeking medical and mental health appointments, including responding to phone and email inquiries, management of clinic calendars, and scheduling while fostering a welcoming, inclusive, and confidential environment in which students feel supported.
  • Oversee Integrated Wellness programs, services, and outreach initiatives that reflect a holistic view of student mental health, physical health, prevention, education, and wellness.
  • Plan, coordinate, and manage student Well At Westminster events including build-out of additional prevention programming with student groups and campus partners, coordination of scheduling and logistics, and event promotion and tracking management.
  • Create and implement new programs in coordination with the Director of Integrated Wellness and division and campus stakeholders (e.g. recruitment and training of Student Wellness Ambassadors).
  • Develop and schedule coordinated communications with the campus community in alignment with the Integrated Wellness Communications Plan.
  • Collect and process student payments for wellness services in EHR and University SMS.
  • Manage the L.S. Skaggs Integrated Wellness Center facility including facility reservation requests, training for faculty/ staff/ students wishing to use the Test Kitchen/ Group Activity Room, coordination with Events staff when needed, maintaining organization pre- and post-event, laundering kitchen towels, and managing maintenance requests).
  • Assist Director in data collection and reporting.
  • Assist Director in monitoring of budgets.
  • Oversee clinic office supply management and ordering, meeting scheduling, agenda preparation, facility reservation and preparation, data entry and compilation, and creation of reports and presentations.
  • Participate in the collaborative planning and staffing of university-wide events including new student orientation, convocation, and commencement ceremonies.
  • Assist with divisional needs as assigned during low-demand times in Integrated Wellness, especially over student breaks.
  • Promote an Inclusive Westminster through demonstration of the commitments included in the Westminster Diversity Statement.
  • Participate in developmental activities to increase understanding and awareness of issues related to diversity, equity, and inclusion both individually and as related to my field of work, profession, or discipline.
  • Other duties as assigned.
