About The Position

The Assistant Director of Events and Operations at Harvard Innovation Labs is responsible for overseeing the operational components of the labs, focusing on event planning, project management, and process improvement. This role involves developing strategic visions for events tailored to diverse audiences, managing event logistics, and serving as the primary contact for various programs and external parties. The position aims to enhance the innovation ecosystem at Harvard and ensure smooth execution of events, while also supervising the Operations Coordinator and collaborating with multiple teams across the organization.

Requirements

  • Bachelor's degree required.
  • 5+ years of work experience in event management, project management, or similar role required.
  • Strong attention to detail and customer service skills.
  • Excellent communication, organizational, time management, and project management skills.
  • Significant experience leading event projects requiring collaboration across diverse teams.

Nice To Haves

  • Knowledge of virtual and hybrid event platforms (e.g., Zoom Events).
  • Understanding of AV technology and other event-related tech.

Responsibilities

  • Designs and oversees the strategy and execution of flagship programmatic, marketing, and brand-building events.
  • Oversees all aspects of the President's Innovation Challenge, managing the process from ideation to execution.
  • Manages logistical aspects of events across virtual, hybrid, and in-person modalities.
  • Consults with stakeholders and manages staff and volunteer support for various events and initiatives.
  • Leads the event evaluation process by analyzing survey data and insights to optimize audience experiences.
  • Manages the annual events budget and ensures effective allocation of resources.
  • Negotiates and coordinates with vendors and internal departments for event services.
  • Tracks all event-related metrics using project management software and compiles data for reporting.
  • Analyzes existing processes to identify inefficiencies and implements streamlined processes.
