The Assistant Coordinating Manager for Administration & Residency at NYC Health + Hospitals is responsible for overseeing daily operations to ensure the efficient planning, preparation, and execution of activities related to maintaining program accreditation, residency recruitment, and resident and medical student education and wellness. This role involves managing and compiling data and statistics within the Pediatrics and Adolescents, and Pediatrics Specialties departments. The position requires collaboration with various stakeholders, including the Chairperson, Program Director, Assistant Director, and Associate Director, to ensure compliance and effective communication within the department.

  • Prepares and submits new hire demographic spreadsheet and copies of application packages to Human Resources Office
  • Plans and prepares departmental orientations for all new residents and medical students in conjunction with the Assistant Director
  • Monitors resident compliance with completion of NYC/Health + Hospitals surveys and learning modules to ensure required compliance rate is reached
  • Prepares and coordinates material and resources for site visit reviews
  • Monitors and files attestation forms
  • Coordinates Performance Improvement projects under direction of the Chairperson, Program Director, Assistant Director and Associate Director
  • Procures space and speakers and documents the attendance of residents and medical students for Grand Rounds, lectures and all meetings
  • Provides Pediatric administrative office and telephone coverage
  • Prepares and distributes materials to appropriate staff members or to various departments as requested
  • Attends monthly Residency Coordinator meeting with GME Office Staff and other residency coordinators as needed
  • Works closely with Human Resources to properly coordinate resident OHS appointments
  • Arranges appropriate rotations for residents and medical students in conjunction with the Chairperson and Program Director
  • Creates and maintains resident and medical student schedules, obtains contact information, photo IDs and shares with the clerkship director, preceptors and department admin
  • Creates and manages templates on AMION scheduling system
  • Compiles and monitors the data and statistics within the Pediatrics and Adolescents, and Pediatrics Specialties department
  • Generates reports for the department chair and prepares data for the monthly departmental meetings
  • Performs other duties as required and/or assigned to ensure smooth administrative functioning of the Department of Pediatrics.
  • A Baccalaureate Degree from an accredited college or university in Business Administration, Community Health, Psychology or related discipline
  • One year of full-time experience in a supervisory or administrative capacity in business management systems, general administration, health care and medical/patient systems administration
  • A satisfactory combination of education, training and experience.
  • Knowledge—comprehension of information acquired by experience or study

  • Competitive salary range of $53,370.00 - $61,376.00
