Requirements

  • Education: Associate's degree (A.A./A.S.) or equivalent from two-year college or technical school; or two to three years related experience and/or training; or equivalent combination of education and experience.
  • Excellent computer skills including outlook, Microsoft Office (Excel, Word).
  • Possess solid organization and verbal/written communication skills.
  • Ability to work in a fast-paced environment and multitask.
  • Good decision-making skills and detailed oriented.
  • Willingness to work in a team environment and assist co-workers or supervisor with other duties as required.
  • Must display a courteous and professional attitude when dealing with co-workers and the public.

Responsibilities

  • Assist Contracts Manager with all contract requirements (examples include contract preparation, subcontract documentation, bid and contract bond preparation, job closeouts, DBE documentation).
  • Assist in bidding process, which may include tracking bid advertisements, ordering plans, reviewing bid requirements, tracking subcontractor quotes and bid addenda, preparing and submitting bids, and distributing results.
  • Prepare and assist with Annual Master Subcontracts and Subcontractor Safety Qualifications. Track compliance for subcontractor insurance and indemnity requirements. Generate job-specific work orders and submit agreements to appropriate agency for subcontract approval with required state support documentation. Acknowledge payments and receipts as required by appropriate agency.
  • Set up State, Municipal, Commercial jobs and change orders using accounting software and maintain files.
  • Support Contracts Manager with document preparation for Annual Prequalification's and Audits
  • Assist in coordinating and tracking quantities/coverslips for all prime contracted work.
  • Review Billing estimates against P&L's for quantity discrepancies.
  • Prepare and key job cost billings to customers.
  • Process Sub Quantities for payment from Estimate & Prep Forms.
  • Prepare and submit bi-weekly subcontractor check runs to Account Payable.
  • Generate and distribute Daily P&L report. Fix progress as requested
