About The Position

The Assistant CARI Coordinator works within the Massachusetts Probation Service, primarily responsible for operational and technical duties related to the Court Activity Record Information Services (CARI). This role involves providing technical support to probation employees, assisting the public with inquiries about their CARI records, and maintaining quality control in data management. The position is essential for ensuring the integrity and accuracy of probation records and supporting the overall mission of the Massachusetts Probation Service.

Requirements

  • High School Diploma or equivalent and four years of customer service experience and/or data management experience handling service inquiries.
  • Proficient with personal computers, including Microsoft Office.
  • Good problem-solving skills and ability to apply these skills to resolve issues calmly.
  • Excellent communication skills, with experience supporting various organizational levels in database use.
  • Attention to detail and ability to follow directions to ensure quality control of CARI records.
  • Ability to travel to courthouses and other locations throughout the Commonwealth.
  • Ability to be a team player and provide informed responses to inquiries.
  • Ability to multi-task and accept supervision professionally.

Nice To Haves

  • Some knowledge of the policies and procedures of the Trial Court and Probation is desirable.
  • Experience preparing for and conducting trainings and developing training materials.

Responsibilities

  • Provide technical assistance to Probation staff statewide using CARI and Mass Courts databases.
  • Assist Probation staff in the field with corrections to CARI records and creation of new identities.
  • Retrieve non-automated CARI data from microfilm for database entry.
  • Participate in troubleshooting and communicate temporary work-arounds for the CARI database.
  • Respond to inquiries from Probation staff, clerks, attorneys, and the public regarding Probation Records and Sealing issues.
  • Maintain records of CIMG and Sealing work for tracking and statistical purposes.
  • Assist in the preparation of sealing records in accordance with G.L. c. 276, § 100A-C.
  • Assist with identifying patterns and trends with system issues and report them to the CARI Coordinator.
  • Conduct periodic CARI User training for Probation staff.
  • Seal records in accordance with G.L. c. 276, § 100A-C at the direction of the Administrative Coordinator.
