The Assistant Athletic Director supports the Athletic Director in the leadership, development, and daily operation of the school's athletic programs. This role ensures that all athletic activities reflect the mission, vision, and values of Bay Area Christian School. The Assistant AD provides administrative oversight, coach mentorship, event coordination, and student support while maintaining excellence and integrity in all aspects of the athletic program.

  • Assist in planning, scheduling, and administering all Junior High and High School athletic seasons
  • Support the Athletic Director in developing and managing annual athletic budgets, including equipment, uniforms, travel, and facility use
  • Ensure compliance with all TAPPS, league, and conference rules, as well as school and safety standards
  • Collaborate with coaches to establish practice schedules, team expectations, and seasonal goals aligned with the school's mission
  • Assist in the recruitment, hiring, onboarding, training, and evaluation of coaches
  • Ensure all coaches adhere to school policies regarding eligibility, discipline, communication, and safety
  • Partner with HR to complete hiring and onboarding processes for coaching candidates (e.g., key requests, gear, documentation, etc.)
  • Serve as a liaison between coaches, the Athletic Director, parents, and students to ensure effective communication and resolution of concerns
  • Monitor and verify student-athlete eligibility requirements for TAPPS TMS
  • Promote Christian character development, sportsmanship, and leadership among student-athletes
  • Assist in addressing disciplinary matters and resolving athlete-related conflicts, with emphasis on Junior High programs
  • Schedule and coordinate with photographers for VYPE Graphics (media day) and team pictures
  • Assist with the creation and publication of the fall media guide
  • Coordinate logistics for home and away athletic events, including facilities, officials, transportation, and equipment
  • Supervise game-day staff, volunteers, scorekeepers, announcers, music, and other event personnel
  • Ensure proper setup and takedown of facilities and that all safety standards are met
  • Oversee concessions and gate operations in collaboration with the Concessions Coordinator
  • Manage the online or on-campus spirit store as needed
  • Maintain accurate inventory of athletic equipment and uniforms, with focus on Junior High programs
  • Order, maintain, and replace athletic gear and uniforms as needed
  • Coordinate maintenance and scheduling of athletic facilities including fields, gyms, and other venues
  • Ensure all athletic equipment is properly stored, maintained, and safe for use
  • Communicate clearly and proactively with students, parents, coaches, and staff regarding schedules, updates, and expectations
  • Work collaboratively with GHAC, TAPPS, and other schools on scheduling, officiating, and tournament participation
  • Maintain a visible presence at athletic events, representing BACS Athletics with excellence and professionalism
  • Assist with fundraising efforts, booster club initiatives, and volunteer coordination
  • Organize and promote summer athletic camps, including coordination of camp apparel and logistics
  • Other duties assigned by the Athletic Director or Head of School
  • Bachelor's degree required; preferred fields include Sports Management, Physical Education, or a related discipline (Master's degree preferred)
  • Minimum of 3 years' experience in a school athletic department or related athletic administration or coaching role
  • Proven experience in athletic administration, coaching, or related roles
  • Strong leadership, organizational, and communication skills
  • Ability to develop, manage, and track athletic budgets and related administrative processes
  • Strong understanding of athletic safety standards, regulations, and compliance requirements (TAPPS experience preferred)
  • Commitment to integrating biblical principles and Christian values into all aspects of the athletic program
  • Knowledge of safety protocols and regulations related to athletic programs
  • Current First Aid/CPR certification or willingness to obtain prior to employment
  • Must coach at least one sport each school year
  • Demonstrates strong interpersonal skills and a professional, Christ-like demeanor in all interactions
  • Excellent verbal and written communication skills with the ability to clearly convey information to students, staff, and families
  • Proven ability to maintain confidentiality, exercise sound judgment, and handle sensitive information with discretion and tact
  • Highly organized and detail-oriented; able to manage multiple priorities and meet deadlines in a fast-paced environment
  • Skilled in problem-solving, critical thinking, and conflict resolution
  • Demonstrates patience, professionalism, and composure under pressure
  • Capable of fostering positive relationships and collaboration among students, coaches, staff, administrators, and parents
  • Strong computer proficiency, including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Gmail)
  • Working knowledge of bookkeeping, budgeting, and basic accounting practices
  • Familiarity with standard office equipment (multi-line phones, printers, copiers, scanners, etc.)
  • Must be available to work evenings, weekends, and occasional holidays to support games, practices, and special events
  • Occasional local travel required for athletic competitions, meetings, and school functions
  • Work is performed both indoors and outdoors in varying weather conditions
  • Physical activities, such as field setup, event preparation, light maintenance, and equipment handling, are required
  • Ability to reason logically and make sound decisions, to consider alternative and diverse perspectives, to communicate effectively both orally and in writing, to remain poised under all circumstances, and to interact effectively with people in a positive manner that engenders confidence and trust
