About The Position

The Administrative Assistant position in Wealth Management in Boston, MS provides advanced administrative support to an Executive within the Boston Region in a complex team environment. The role involves maintaining complex and extremely detailed calendars, including senior-level internal/external meetings and conference calls, while prioritizing meeting requests and all related client logistics. The assistant will handle highly confidential and sensitive information with the utmost discretion and compliance. Additionally, the position requires managing a high volume of phone calls and interacting with high-level business leaders and clients in a professional and effective manner. The role also includes coordinating logistics for client calls and meetings, responding and following up on requests in a timely manner, and managing a high volume of domestic and international travel arrangements, including visa procurement, and processing expense reports in a timely manner. The assistant will prepare and distribute correspondence, agendas, letters, reports, or other documents as requested, organize and ship materials to clients as needed, and work with conference and catering services for client engagements. Furthermore, the role supports general office administrative duties such as copying, filing, faxing, archiving, shipping, and supplies management, as well as ad-hoc projects, facilities management, and event planning.

Requirements

  • Experience supporting high level executive(s) in a complex environment, preferably in financial services, private sector or government.
  • Ability to exercise excellent judgment and discretion in dealing with confidential material.
  • Excellent interpersonal and communication skills, both written & verbal.
  • Extreme attention to detail and organizational skills, with ability to prioritize tasks.
  • Quick learner and self-starter with excellent anticipation skills.
  • Pro-active problem solver and independent thinker; ability to follow up as necessary.
  • Ability to work well under pressure while maintaining high standards.
  • Strong proficiency in MS Word, Excel, PowerPoint and Outlook.
  • Familiar with expense platforms such as SAP Concur.
  • Supportive team player with a positive attitude.
