The Asset Management Assistant is responsible for supporting the organization in overseeing vehicles, equipment, and other assets. This role helps ensure efficient daily operations by managing inventory, maintaining accurate asset records, and providing administrative and financial support as needed. Serve as the primary contact for all company vehicles, cell phones, Mifi devices, and other organizational assets. Maintain and update the organization’s vehicle, equipment, cell phone, and Mifi device inventory records, including conducting periodic audits. Liaise with employees, insurance companies, and vendors regarding vehicle-related matters, including accidents, maintenance, and compliance. Assist in ordering, receiving, and distributing program supplies, including technology equipment, cell phones, Mifi devices and other equipment items as needed. Support staff with equipment setup, technology troubleshooting, and other operational needs. Track and schedule regular maintenance or upgrades for company vehicles, cell phones, Mifi devices and other equipment. Assist with maintaining vendor contacts and supporting basic vendor communications. Monitor office supplies used by the department and ensure timely replenishment. Assist with organizing, filing, and archiving departmental documents. Generate and update simple reports on asset usage, cell phone usage, Mifi devices, inventory levels, and vehicle assignments. Assist in preparing reports and supporting month-end close and audits as needed.
