Art School and Gallery Coordinator - Part Time

We’re seeking a friendly, detail-oriented Part-Time Student Services Coordinator to support our school during evenings and weekends—our busiest and most vibrant times. This role is perfect for someone local who enjoys customer service, thrives in a fast-paced environment, and takes pride in creating a warm, organized experience for students, families, and teachers. As the face of the school during your shift, you’ll help keep everything running smoothly while delivering exceptional, student focussed customer service.

Responsibilities
- Open and close the school following the Daily Checklist
- Review the daily roster for key updates (new students, makeups, last-day students)
- Prepare for upcoming tours and host tours when families arrive, including follow-up
- Send an end-of-day recap email summarizing tours, sign-ups, attendance issues, and any notable situations
- Greet students and parents warmly—by name
- Welcome new students, walk them to class, and introduce them to their teacher
- Answer incoming phone calls and texts with professionalism and care
- Respond to emails in the school inbox
- Check voicemails and return calls promptly
- Call students who are tardy or absent after 15 minutes and send makeup links as needed
- Complete follow-up calls to new leads using HubSpot, following the enrollment process
- Follow up on failed payments with professionalism and discretion
- Review weekly priorities and complete additional tasks as assigned
- Welcome teachers and ensure they clock in no more than 10 minutes before class
