About The Position

The Area Office Administrator I position provides essential administrative support to the Young Life field ministry area office, ensuring it operates in an organized and efficient manner. The role involves various tasks including written and verbal communication, administration, event coordination, and training. The ideal candidate will partner with the ministry team in San Jose to support their mission of reaching kids. The position requires availability of 10-15 hours a week, with a starting pay of $22 per hour, plus a cost of living allowance.

Requirements

  • High school education or its equivalent; Associate's degree preferred.
  • Previous administrative assistant experience preferred.
  • Ability to type 55 to 60 words per minute with few errors.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational skills with attention to detail.
  • Good grammar skills and strong written and verbal communication skills.
  • Ability to maintain confidentiality.
  • Basic accounting skills.
  • Detail-oriented multi-tasking ability.
  • Proven relational skills with both kids and adults.
  • Initiative in developing processes/systems around events.

Responsibilities

  • Answer correspondence, do filing and prepare mailings.
  • Answer phones and respond to voicemail, e-mail, and phone calls in a timely and professional manner.
  • Gather articles, pictures, layout, production, mail, etc. for newsletters from area staff.
  • Create club/event postcards, flyers, and/or maps.
  • Send prayer e-mails and monthly updates.
  • Send personal support mailings and thank-you letters to donors.
  • Process and track donations.
  • Maintain donor and leader databases, ensuring that leader forms, driver questionnaires, and criminal background checks are up-to-date.
  • Manage monthly expenses and budgets, including area bank account records and staff expense reports.
  • Track and report vacation, sick, and personal days for eligible area staff.
  • Coordinate area meetings, including area staff meetings and area leadership meetings.
  • Track camp participation, payments, health forms, and communicate with camp regarding contracts and requests.
  • Create and distribute banquet invitations and track donations received from the banquet.
  • Provide training to area office assistants and leaders on various administrative processes.
