About The Position

The Archival Imaging Specialist is responsible for leading a production team in the imaging and electronic file conversion activities at the Washington State Archives. This role involves coordinating tasks, ensuring compliance with imaging standards, and maintaining documentation for imaging projects. The specialist serves as a technical expert, overseeing quality control processes and ensuring that projects meet contract requirements and archival standards. The position also includes administrative duties such as managing production statistics and responding to customer inquiries.

Requirements

  • Four years of experience in the functional operations of an archives and/or production imaging operation, including at least one year at the senior level or equivalent.
  • Ability to read and write in English.
  • Ability to efficiently use a personal computer and applicable software for essential job functions.
  • Attention to detail.

Nice To Haves

  • Experience analyzing, converting, and normalizing data for specialized software applications.
  • Proficient in digital image creation processes, including document preparation, high-speed scanning, indexing, quality control, data entry, and 10-Key operation.
  • Experience developing production schedules based on customer requirements and staff levels.
  • One year of full-time experience using scanning and indexing software such as Kofax Ascent Capture.
  • Experience and knowledge of inspecting and working with microfilm.
  • Ability to multi-task while retaining focus on complex issues and problem-solving.

Responsibilities

  • Leads production team and performs imaging and electronic file conversion activities.
  • Assigns tasks to staff performing scanning and electronic file conversion projects.
  • Serves as technical expert for team in document conversion and indexing.
  • Analyzes and stages imaging projects to ensure timely completion and efficient use of resources.
  • Maintains documentation on imaging projects to ensure compliance with custody and security procedures.
  • Preps, scans, indexes, and provides quality checks on digital imaging products.
  • Ensures projects match contract requirements and meet or exceed archives and international imaging standards prior to customer delivery.
  • Supervises preventative maintenance processes on production equipment.
  • Monitors software and hardware settings for quality control and makes adjustments as needed.
  • Performs technical inspections on incoming film to ensure compliance with state and national standards.
  • Operates and maintains technical laboratory equipment for microfilm inspection.
  • Ensures accurate collection of production statistics for billing and analysis.
  • Maintains and monitors supplies for continuous production flow.
  • Responds to customer questions and coordinates the pickup and return of records.
