Purpose The Archer Fellowship Program Coordinator supports the daily operations, student advising, and program logistics of the Archer Fellowship Program at The University of Texas at Austin. This position ensures seamless recruitment, selection, pre-departure, preparation, enrollment coordination, and ongoing student support for undergraduate Archer Fellows. This position reports to the Program Director of the Archer Fellowship Program and will work closely with the UT System Archer Center to advance UT Austin’s commitment to educating the next generation of leaders for local, federal, and international service.

Requirements

  • Bachelor’s degree.
  • At least five years of experience in higher education program coordination, student advising, or related roles.
  • Demonstrated ability to manage multiple priorities and deliver results within established timelines
  • Relevant education and experience may be substituted as appropriate.

Nice To Haves

  • Experience supporting students applying for competitive programs, fellowships, or internships.
  • Understanding of experiential learning, public service, career readiness, or leadership development programs.
  • Familiarity with UT Austin systems (Advisor’s toolkit, 12twenty, Mainframe, etc.).

Responsibilities

  • Program Coordination & Execution: Coordinate all logistical aspects of the Archer Fellowship program lifecycle: information sessions, program applications, interviews, selections, scholarship applications, course enrollment, orientations, and debriefs.
  • Manage student records, course enrollment, and scholarship processing in collaboration with the UT System Archer Center, Registrar’s Office, Office of Scholarships & Financial Aid, and academic advisors.
  • Maintain program timelines, documentation, and compliance with UT Austin and UT System expectations and guidelines.
  • Serve as the primary contact for student inquiries and day-to-day program needs.
  • Recruitment & Outreach: Execute the annual recruitment strategy in collaboration with the Director, focusing on targeted outreach to academic units and student populations.
  • Organize and host information sessions, classroom visits, and presentations across colleges and schools.
  • Develop promotional contentment and coordinate marketing materials in collaboration with UT System Archer staff.
  • Manage the program’s online presence (website, social media, newsletters) to highlight student success and program updates.
  • Student Support: Provide one-on-one and small group advising to help students navigate the application process, personal statements, and interview preparation.
  • Offer pre-departure and ongoing support for Archer Fellows during their Washington, D.C. semester, including professional etiquette, internship placement and career readiness guidance.
  • Serve as a resource for connecting Fellows to campus and Archer Center support services.
  • Support alumni transitions and help facilitate networking with current participants.
  • Partnership & Coordination: Coordinate communication and logistics between UT Austin, the Archer Center, Archer Faculty Director, Archer Graduate Program Coordinator, and other UT System campuses as directed by the Director.
  • Plan and execute annual events such as the Archer reception, pre-departure celebration, and return recognition gatherings.
  • Maintain collaborative relationships with campus stakeholders, including faculty, academic advisors, career coaches, alumni, and student organizations.
  • Assist the Director with partnership documentation, reporting, and engagement tracking.
  • Data, Reporting, Continuous Improvement: Collect and maintain data on applicants, selections, scholarships, alumni, and outcomes for institutional reporting.
  • Generate reports and materials for leadership, donors, and campus partners.
  • Support ongoing improvements in process efficiency, student experience, and student access to the Archer Fellowship Program.
