About The Position

The Apprenticeship Program Assistant at Spokane Community College is responsible for providing program support for all aspects associated with the Apprenticeship and Journeyman Training Center. This includes maintaining records, enrollment forms, and tuition billing forms, as well as serving as the primary contact for apprentices, students, apprenticeship training directors, and the public. The position acts as a liaison between SCC, apprenticeship partners, and outside agencies.

Requirements

  • Knowledge of trades and apprenticeship programs.
  • Excellent verbal, written, and interpersonal communication skills.
  • Working knowledge of general office equipment and filing systems.
  • Experience using Microsoft Office software and web applications.
  • Ability to multi-task in a fast-paced environment and handle emergency situations in a calm manner.
  • Ability to prioritize multiple tasks meeting multiple deadlines.
  • Ability to maintain a high level of confidentiality.

Nice To Haves

  • Two years of increasingly responsible clerical experience.
  • Knowledge of Spokane Colleges and SCC Apprenticeship programs.
  • Experience with student management systems (e.g., PeopleSoft).

Responsibilities

  • Provide front line support and respond to inquiries from students, apprentices, training directors and the public regarding apprenticeship policy, procedures and apprenticeship programs offered.
  • Prepare enrollment and tuition billing for all apprenticeship programs.
  • Maintain student records following retention and FERPA rules and regulations.
  • Provide support to Skilled Trades Preparation (STP) faculty and students.
  • Act as a liaison between SCC, apprenticeship program partners, outside agencies and the public.
  • Work with apprenticeship training directors to schedule and build Apprenticeship classes.
  • Complete FTE reports and prepare payment vouchers for reimbursement of FTEs generated.
  • Maintain and order departmental supplies. Prepare departmental purchase orders and reconcile procurement card transactions.
  • Input and track facility Work Orders, Building Improvement Requests, key and security requests.
  • Maintain departmental budgets and inform manager of status.
  • Coordinate arrangements for apprenticeship activities such as classes, meetings, and special functions.
  • Facilitate curriculum approvals and updates between the college and apprenticeship programs.
  • Model professional decorum and mutual respect in all personal interactions.
  • Comply with district policies, procedures and directives, state and federal regulations, orders and statutes and collective bargaining agreements.
  • Support and advance Spokane Colleges' strategic plan and perform other duties as assigned.
