Application Services Manager - School of Medicine The Application Services Manager provides oversight, coordination, and operational leadership for specialized applications supporting the BYU School of Medicine. In addition to managing application needs and coordinating implementation, this manager is responsible for mentoring student employees who support academic and administrative systems. Reporting to the Director of Information Technology, this position defines application requirements, ensures smooth operations, maintenance, and continuous improvement of medical education systems—including admissions, virtual learning environments, collaboration platforms, process automation tools, and integrations with the University Student Information System. The manager is also responsible for developing powerful, custom applications to address needs that cannot be met by purchased SaaS solutions, ensuring these applications are tailored to the School of Medicine’s unique requirements. Additionally, the manager fosters a supportive environment for student staff, encouraging their professional growth and development through guidance, feedback, and training. This role acts as a key liaison between the School of Medicine and the BYU Office of Information Technology (OIT), collaborating with architects, engineers, and other technical staff. The Application Services Manager ensures systems align with School of Medicine workflows, accreditation requirements, and institutional standards to enable effective teaching, learning, and operations. This position is critical in supporting the School of Medicine’s mission to “provide a spiritually grounded and scientifically rigorous education for physicians who will minister to God’s children throughout the world as healers, teachers, researchers, leaders, and disciples of Jesus Christ,” while also fostering mentorship and leadership among student team members.

Requirements

  • Bachelor’s degree
  • At least 3 years of experience in application development, management, systems administration, IT operations, or a related field
  • Demonstrated experience coordinating with technical teams and managing complex systems
  • Strong understanding of application lifecycle management and systems operations (required)
  • Excellent communication and collaboration skills, including the ability to work with both technical and non-technical stakeholders (required)
  • Knowledge of systems integration concepts and data flows (required)
  • Project coordination and organizational skills (required)

Nice To Haves

  • Experience supporting academic or higher education environments

Responsibilities

  • Manage the definition, configuration, and lifecycle of specialized applications used by the School of Medicine, including admissions, virtual learning, collaboration, and related platforms.
  • Serve as the primary and operational owner for assigned applications, ensuring system availability, performance, data integrity, and user satisfaction.
  • Where necessary, develop custom applications tailored to address distinctive and specific user requirements, ensuring solutions are flexible and responsive to the School of Medicine’s evolving needs while introducing the least amount of technology debt.
  • Coordinate application upgrades, patches, enhancements, and maintenance activities with BYU OIT and third-party vendors.
  • Develop and maintain application documentation, usage standards, and operational procedures.
  • Monitor system usage, identify issues or inefficiencies, and recommend improvements to better support academic and administrative workflows.
  • Ensure systems comply with institutional policies, security standards, privacy requirements, and accreditation expectations (e.g., FERPA, LCME, BYU, School of Medicine policies).
  • Mentor, supervise, and provide guidance to student employees, fostering their technical and professional development through regular feedback, training, and support.
  • Coordinate and oversee integrations between School of Medicine applications and the University Student Information System and other enterprise platforms.
  • Work with technical teams to define data flows, business rules, and integration requirements.
  • Identify opportunities for process automation and efficiency gains across School of Medicine operations.
  • Lead the evaluation, selection, and implementation of supplemental applications or tools that enhance productivity and workflow effectiveness.
  • Ensure data consistency, accuracy, and reliability across integrated systems.
  • Engage student employees in integration and automation tasks, offering mentorship and opportunities for hands-on learning in technical projects.
  • Serve as the School of Medicine’s application lead on technology-related projects, coordinating scope, timelines, requirements, and communication.
  • Collaborate closely with BYU OIT architects, engineers, and support teams to translate business needs into technical solutions.
  • Participate in planning, testing, training, and rollout activities for new systems or major enhancements.
  • Communicate effectively with technical and non-technical stakeholders, providing status updates and managing expectations.
  • Support change management efforts by coordinating training and adoption activities for faculty, staff, and administrators..
  • Provide leadership and project management experience opportunities for student employees, encouraging their involvement in collaborative projects and meetings.
  • Act as a functional expert for supported applications, providing advanced troubleshooting and escalation coordination.
  • Develop and deliver training materials, documentation, and guidance for end users.
  • Gather feedback from faculty, staff, and students to inform system improvements and enhancements.
  • Assist with audits, reviews, and accreditation-related documentation involving technology systems.
  • Support special projects or assignments as directed.
  • Provide regular coaching, support, and professional development opportunities for student employees, including facilitating training sessions and encouraging continuous improvement in their work.
