About The Position

The AP/AR Specialist is responsible for managing accounts payable and accounts receivable functions within the Fiscal Services department. This role involves processing invoices, maintaining financial records, and ensuring compliance with governmental accounting principles. The position supports the Managing Director of Finance and requires attention to detail and effective communication skills.

Requirements

  • Associate's degree or equivalent job-related experience.
  • Valid State of Texas driver's license and an acceptable driving record.
  • General knowledge of accounting theory, principles, and practices.
  • Intermediate to advanced-level skills in Microsoft Word and Excel.

Nice To Haves

  • Bachelor's degree in business or related field.
  • Experience in municipal government.

Responsibilities

  • Process A/P & A/R invoices through the City's accounting system in a timely manner.
  • Provide support to City departments and external parties in processing A/P & A/R transactions.
  • Maintain A/P & A/R files in accordance with records retention requirements.
  • Monitor outstanding A/R invoices and follow-up with customers for timely collection.
  • Remit sales tax collections to the Comptroller monthly and prepare corresponding Journal Entries.
  • File Unclaimed Property reports with the Comptroller annually and prepare corresponding Journal Entries.
  • Submit 1099 forms to the Internal Revenue Service annually.
  • Assist external auditors as needed.
  • Order office supplies utilizing a City issued procurement card.
  • Perform other related duties as assigned.
