About The Position

The Receptionist/Secretary at Summit Hill School District 161 plays a crucial role in providing clerical, secretarial, and administrative support at the Administrative Center. This position is responsible for managing the reception area, greeting visitors, handling phone calls, and assisting with various administrative tasks to ensure the efficient operation of the school district's administrative functions.

Requirements

  • High school diploma
  • Successful experience with office management preferred.
  • Ability to describe problems and work orally or in writing to supervisor as required.
  • Ability to establish and maintain cooperative working relationships with others contacted in the course of work.
  • Ability to carry out instructions furnished in written or oral form.
  • Ability to understand, apply and use personal computers and software applications (e.g., Word, Excel, Power Point, the Internet, Outlook, electronic mail).
  • Ability to problem-solve job-related issues.
  • Ability to work with a diverse group of individuals.
  • Ability to process paperwork accurately according to standardized procedures.
  • Ability to maintain confidentiality of information regarding students, employees and others.
  • Organizational and time management skills.
  • Knowledge of office management procedures.

Responsibilities

  • Greets all visitors, determines their needs, checks appointments, and directs or escorts them to the proper person.
  • Maintains a professional reception area.
  • Receives and transfers calls as well as takes accurate notices for relay of messages.
  • Answers questions of callers according to district policy.
  • Assists in student registration and residency verification.
  • Maintains the district roster of students eligible for Free/Reduced lunch, arranges delivery of lunches to school buildings.
  • Manages the posting of flyers to the district virtual backpack program.
  • Assists with records management procedures.
  • Maintains the central storage area for inactive records.
  • Assists with clerical functions of the Administrative Center.
  • Performs other related duties, as assigned.
