About The Position

Primary Duties & Responsibilities Provide day-to-day administrative support to the IP legal team. Correspond with external patent counsel, monitoring and tracking patent office deadlines. Maintain and update the IP management system (currently Clarivate Foundation IP), including accurate and timely entry of metadata through the patent lifecycle. Liaise with internal stakeholders (inventors, R&D Engineering, businesses, Finance). Assist employees with submitting invention disclosures and with IP management system access. Organize and file digital patent prosecution documents. Organize and file a limited number of paper patent prosecution documents. Coordinate execution of legal documents, including both physical and electronic (DocuSign) signatures. Generate a quarterly list of patent application filings and patent grants for the inventor award program. Assist with preparation and monitoring of the IP budget. Ensure compliance with company policies and practices. Perform general administrative tasks to support the IP legal team. Perform other duties, as required, according to business priorities. Education & Experience Bachelor's degree, associate's degree, or certificate in law, paralegal studies, business administration, or a related field is an advantage. Minimum of 4 years of relevant experience in a law firm or corporate legal environment. Demonstrated record of legal administrative support and process improvement. Familiarity with legal operations and processes. Proficiency with digital document technology. Experience with patent docketing and patent documents is an advantage. Skills Attention to administrative details and strong organizational skills. Excellent communication and interpersonal skills in a global team. Basic understanding of the legal and technical aspects of the patent process. Ability to work independently without supervision to achieve goals and objectives. Ability to collaborate while maintaining confidentiality in handling IP matters. Ability to prioritize. Working Conditions Working conditions are those found in a typical office environment. Hybrid or onsite, subject to policy. Physical Requirements Ability to sit and/or stand for an 8-hour shift.
