About The Position

The American Girl DeForest Distribution Center is looking for a dynamic individual for the Seasonal Department Assistant position for first shift. This position effectively completes the administrative duties for the distribution center.

Requirements

  • 2-3 years of experience in an office environment and/or administrative support role.
  • Fluent in both English and Spanish.
  • Excellent oral and written communications skills including professional phone etiquette.
  • Strong Microsoft Office skills, including Word, PowerPoint and especially Excel.
  • Ability to prioritize and juggle multiple tasks, work in a fast-paced environment, and collaborate with people at all levels of the organization as well as guests and vendors.
  • Organized, detail oriented and able to make decisions with little information.
  • Maintain the highest degree of confidentiality with sensitive information involving people, budgets, strategic plans, etc.
  • Ability to remain calm under pressure and manage stress when uncomfortable situations develop.
  • Willingness to work overtime at various times throughout the year, especially from October through December.
  • Ability to work flexible shifts including evenings and overtime as needed.

Responsibilities

  • Exhibits polite and professional communication in person, via phone and e-mail.
  • Greet visitors and direct them appropriately.
  • Maintain security by following safety procedures.
  • Provide assistance to DC employees and management team to ensure efficient operation.
  • Answer phones, screen and route the call to the appropriate person or take a message.
  • Responsible for getting all messages to their intended recipient.
  • Maintain DC and Facility records and files.
  • Collate and distribute mail and supply orders.
  • Create and maintain miscellaneous DC spreadsheets.
  • Ensure reception area is tidy and presentable.
