About The Position

The Alumni Relations Coordinator plays a pivotal administrative role in supporting the Executive Director of Alumni Relations and the University of Florida Alumni Association (UFAA). This position is focused on building meaningful connections and creating impactful experiences within the Gator community by collaborating with various stakeholders, managing events, and ensuring effective communication and project management.

Requirements

Responsibilities

  • Organize and handle administrative details for the Executive Director of Alumni Relations.
  • Manage the Executive Director's calendar, prioritizing meetings and ensuring timely scheduling.
  • Handle travel arrangements for the Executive Director, including logistics and reimbursements.
  • Plan, coordinate, and execute off-site events and activities involving senior leadership.
  • Maintain and organize office filing systems and ensure compliance with regulations.
  • Prepare and draft correspondence and data-driven reports for the Executive Director.
  • Serve as a point of contact for candidates and stakeholders to provide a world-class onboarding experience.
  • Partner with the Executive Director on UFAA Board-related activities and manage board meetings.
  • Create comprehensive meeting materials and oversee documentation for board meetings.
  • Facilitate stakeholder engagement and maintain board demographics and key statistical data.
  • Assist in project management by managing deadlines and deliverables for key meetings and projects.
  • Collaborate with Strategic Communications to develop high-impact materials and messaging.
  • Assist in the preparation and justification of the annual operating budget for Alumni Relations.
